Senior Estates and Facilities Admin - Apprentice
The Estates and Facilities Department covers a very large and diverse range of duties. As Senior Administrator, you would interact closely with many stakeholder groups on a wide range of matters. You will work as part of a small proactive team of NHSBT staff and contractors who are customer-focused and have a can-do attitude, enabling colleagues across the organisation to carry out their duties efficiently and effectively.
We are looking for someone with a keen interest in facilities or contract management support, preferably from within an administration environment, who has previously supported areas such as reception and is keen to develop further in this arena. Working closely with Management and Administrators, you would support both day-to-day operations on our sites and take the lead on strategy and project matters within the region; ensuring all tasks are carried out within relevant timescales and upholding statutory requirements.
Main duties of the job
As the Senior Facilities Administrator Apprentice, you will be responsible for:
1. Administering the effective and efficient delivery of a comprehensive Estates and Facilities service, including the provision of local site services and coordination of external suppliers and contractors.
2. Providing effective leadership and supervision of the Facilities Administrators.
3. Liaising with internal and external stakeholders, including managers, contractors, suppliers, framework partners, staff, visitors, local authorities, emergency services, and other NHS organisations.
4. Developing and maintaining effective two-way communication within Estates and Facilities.
5. In the absence of the Estates and Facilities Manager and Deputy, acting as the point of contact for resolving issues.
6. Supporting the building of a portfolio of evidence and attainment of the apprenticeship.
Additional responsibilities include:
* Travel and spend time away from base when needed (with prior notice).
* Undertaking an End Point Assessment as part of the apprenticeship programme, with support provided.

Person Specification
Qualifications
* GCSE grade C or above in English and Maths.
* Commitment to studying towards and completing the Level 3 Facilities Management Supervisor apprenticeship programme.
* Demonstrates commitment to own continued professional development (CPD).
* By the end of the apprenticeship, you will have: British Institute of Facilities Management qualification or relevant demonstrable experience to Diploma.
Experience
* Experience of handling conflicting deadlines and priorities.
* Understanding of confidentiality requirements.
* Experience working with information technology using Microsoft Office or equivalent systems.
* Proven people and contract management skills and experience.
* Experience supervising/coordinating contractors.
* Ability to work across functions and promote teamwork.
