We are seeking a well-organised Academic Administration Assistant to support a wide range of administrative functions within the Faculty. You will be the first point of contact for students, staff and applicants, responding to enquiries and supporting compliance with University and visa regulations.
The position is set to commence on 6 October 2025 and will be full-time for initially till 6 December 2025 with a pay rate of £14.98 per hour + holiday pay
Key Responsibilities:
* Support for various administrative functions, including:
* Act as first point of contact in the administration office for students, staff and applicants. Respond to general enquiries, interpreting university and external regulations as appropriate.
* Assist in producing, maintaining and circulating a number of sources of information on the website and in publications (student course handbooks, examiner information packs, publicity material, etc).
* Manage SharePoint and Inspera sites for student information, submissions etc.
* Coordinate exam paper setting processes. Maintain secure SharePoint folders and upload/share papers. Check that papers have been set in the correct format, finalised and submitted on time.
* Provide administrative and secretarial support for academic projects and subject groups as determined by the Senior Academic Administrator in consultation with the Faculty Board Chair.
* Coordinate submission processes, ensuring that all procedures are followed correctly. Set up Inspera submission sites and monitor students' submissions; process and manage extensions.
* Co-ordinate activities and record-keeping for on-course activities as required for both undergraduate and graduate students.
* Support compliance with University policy and national regulations for Student visa holders, especially through attendance monitoring.
* Support organization of and arrangements for undergraduate admissions processes, including managing interviewer and student records and arrangements for online interviews.
* Collaborate with the wider academic administration team and participate in weekly meetings.
Selection Criteria:
* Good general education to A-level standard or equivalent, and/or significant work experience at a similar level;
* Experience of working in an administrative role with a focus on customer support;
* The ability to use initiative and to work independently, with minimum supervision, and a willingness to resolve situations, as well as knowing when to refer issues to others;
* The ability to organise and prioritise own workload and to work on a variety of tasks at the same time whilst maintaining high standards and working to deadlines;
* Care and accuracy in all tasks, with excellent attention to detail;
* A capacity to assimilate and communicate complex information and to interpret, apply and communicate regulations and procedures;
* Excellent interpersonal and communication skills in dealing with a wide range of individuals;
* Proven IT skills, including experience of using Outlook, Word and Excel;
* Excellent written and spoken English, especially bearing in mind the need to draft items that will publicise the English Faculty externally;
