Role Overview
As an Office Administrator / Document Controller at GA Interiors Ltd, you will play a key role in managing the day-to-day administrative functions of the office. You’ll be responsible for coordinating employee onboarding, maintaining company policies, managing insurance and certification renewals, supporting ISO audits, and ensuring compliance with Health & Safety regulations within the construction industry. This role involves close collaboration with internal departments and external bodies to ensure our administrative systems remain efficient, compliant, and up to date.
Key Responsibilities
General Office Administration
* Ensure the office runs smoothly and remains well organised
* Handle incoming calls, emails, and correspondence
* Order and manage office supplies and equipment
* File and archive both physical and digital documentation
* Support various departments with administrative tasks
Employee Onboarding & Policy Management
* Coordinate onboarding processes for new staff and subcontractors
* Collect and maintain HR documentation and training records
* Ensure staff receive and acknowledge company policies and handbooks
* Maintain and update company procedures in line with current legislation
* Liaise with HR advisors when required
Insurance, Memberships & Certifications
* Manage company insurance policies (e.g. public/employers’ liability, PI)
* Track renewal dates and ensure continuous coverage
* Maintain and renew industry accreditations (e.g. CHAS, SMAS, FIS, Constructionline)
* Keep certification records up to date and audit-ready
ISO Audits & Compliance
* Manage documentation for ISO 9001, 14001, and 45001 certifications
* Prepare for internal and external ISO audits and support auditors as required
* Maintain non-conformance and corrective action logs
* Assist in implementing process improvements and maintaining compliance
Health & Safety (Construction-Focused)
* Maintain training logs and H&S records (e.g., CSCS, First Aid, Asbestos Awareness)
* Assist with toolbox talks, RAMS preparation, and incident tracking
* Support the H&S team and coordinate PPE distribution
* Ensure compliance with site and office safety protocols
Team Liaison & Operational Support
* Serve as the communication link between the office and on-site teams
* Schedule internal meetings, inductions, and training events
* Support other departments with documentation, records, and compliance tracking
Key Skills & Requirements
* Proven office administration experience (preferably in construction or related field)
* Familiarity with employee onboarding and HR coordination
* Understanding of ISO audit requirements and documentation
* Working knowledge of Health & Safety in construction
* Excellent attention to detail and organisational skills
* Strong communication and interpersonal abilities
* Proficiency with Microsoft Office (Excel, Outlook, Word)
* Ability to manage multiple tasks independently and efficiently
