The Project Administrator will join our Upstream team within our Operations business. This role is open to both full ‑ time and part ‑ time applicants with a requirement for hybrid working 3 days per week being based out of either Aberdeen, Glasgow, Stockton or Staines. Please note applicants must be able to pass HMG Baseline Personnel Security Standard (BPSS) check. LI-Hybrid The Role The Project Administrator will play a key role in ensuring the smooth and efficient day ‑ to ‑ day operation of four core projects. This position is responsible for delivering organised, proactive administrative support, including maintaining accurate records and documentation, coordinating internal workflows, managing correspondence, and ensuring databases and project systems are up to date and compliant. As an experienced Project Administrator, you will act as a central point of contact for both internal teams and external stakeholders. You will support the wider project team by ensuring information is communicated clearly, tasks are tracked and completed within agreed timelines, and processes run seamlessly from initiation to completion. Your strong organisational skills, attention to detail, and ability to prioritise effectively will be essential to supporting successful project delivery. Further benefits include a generous contributory pension scheme, private medical cover, 4x base salary life insurance; all of these and more that can be adapted to suit your own lifestyle Commitment to continued professional development ; development plans that are tailored to your individual needs and interests Global connections : join experts around the world who are at the leading edge of our industry, shaping the standards of our profession Energy Transition Academy ; join a community of experts sharing your knowledge and gaining more exposure to a variety of existing and emerging energy systems – delivered by experts in their field Responsibilities The key objectives for this role are: Accurately record and distribute minutes of meetings, ensuring key discussion points, action items and decisions are clearly captured and shared Coordinating meetings including scheduling, sending invites, preparing agendas and following up on action items Monitoring, updating and maintaining Oracle system to ensure optimal performance and reliability Liaising with the Administration and Accounts Payable department to address and resolve invoice related issues To assist with project specific onboarding requirements, including but not limited to ensuring Wood standard BPSS are processed for all new starters onto the project Ensure all relevant trackers are kept up to date with accurate and timely information Assess and address incoming queries in a timely and accurate manner Complete assigned tasks with accuracy using all available resources Communicates progress and clarifies process steps required to resolve queries Proactively seeks clarification to ensure accurate problem resolution Generate routine and ad-hoc reports and data outputs as requested, ensuring accuracy and timeliness Actively contribute to continuous improvement initiatives by identifying and recommending process enhancements based on operational experience and constructive feedback Support the team by undertaking additional tasks and responsibilities as reasonably assigned by line management Coordinate and book travel arrangements, ensuring cost ‑ effective, timely and compliant travel planning Oversee office management tasks including booking meeting rooms and managing desk allocations across National Gas offices Qualifications Skills And Qualifications What makes you remarkable? Expected: Minimum GSE level of English is required along with a sound general education Proven admin experience, preferably in the Engineering/ Oil & gas/ Construction industry Proficiency with Microsoft Office Suite programs to include Word, Excel, PowerPoint, Outlook and SharePoint Effective organisation and planning skills Ability to handle multiple tasks and changing priorities in a fast-paced environment Ability to work on own initiative with minimal supervision Positively maintain relationships with suppliers, clients and internal stakeholders
