We are looking for an experienced Typist/Admin professional to join our ENT team in Yeovil Hospital on a part time basis to assist with our operations within the office and the wider trust. This role is for 28 hours p/week.
You will have excellent organisational and communication skills, strong attention to detail, and the ability to work effectively in a fastpaced healthcare environment. Experience in an NHS or clinical administrative setting is desirable, along with confident audio typing skills and knowledge of outpatient processes.
Deal with day-to-day correspondence, initiating appropriate responses to provide patients, staff and other parties with required information in a friendly and professional manner.
Working within set work patterns of specialty, prioritise own work efficiently and effectively to ensure all administrative duties are met, highlighting any issues to the Administrative Team Leader.

Main duties of the job
You will be working within a supportive and collaborative clinical team and will play a key role in delivering high-quality patient care. As part of this role, you will:
* Manage and respond to telephone calls, take accurate messages on behalf of the specialty team, and take appropriate action where required
* Request, receive, track, and prepare medical records, ensuring records are available in advance of outpatient clinics
* File correspondence accurately within medical records, maintaining correct sequencing before records are transferred
* Liaise with members of the multidisciplinary team to gather and coordinate patient information in a timely manner
* Type clinical correspondence dictated by clinical staff using audio or copy typing methods, producing copies for relevant agencies and filing documentation appropriately
* Ensure followup actions are in place, including monitoring outstanding investigations via hospital database systems
* Support outpatient services, including appointment booking and monitoring clinical activity to ensure accuracy, escalating issues to the medical secretary as required (including suspected cancer fasttrack referrals)
* Receive, prioritise, and distribute patient correspondence in line with specialty guidance
* Process urgent referrals and arrange appropriate outpatient appointments within required timescales
* Participate in team and Trust meetings and work flexibly across the Trust in line with service needs

Person Specification
Qualifications
* IT literate including recent experience of using Microsoft packages such as word, outlook and excel.
* Knowledge of medical technology
* Working knowledge administrative procedures and systems
* Experience of dealing with patients/customers
* Evidence of prioritising workloads/good time management
Experience
* RSA/OCR III or equivalent typing/word processing including audio typing.
* Previous secretarial experience
* Proven experience of working well as part of a team
* Experience of working in a health care setting/previous experience of NHS admin processes.
