Role: Senior Project Controller Consultant

1. Proposal Preparation and Submission Support:
* Provide administrative assistance in preparing and submitting project proposals for public funding opportunities (e.g., government entities, innovation grants, or EU funding).
* Familiarize with funding guidelines and documentation requirements.
* Assist in populating templates, merging documents, and organizing meetings to track progress and actions.
* Collaborate with Project Investigators (PI) and Project Managers (PM) to compile financial and administrative documentation.
* Maintain version control of proposal documents and ensure timely submission.
* Support the development and implementation of web-based tools to streamline proposal processes.
2. Grant Documentation and Sponsor Communication:
* Compile and format documentation for sponsor review meetings (e.g., quarterly, annual).
* Coordinate with project partners to gather required inputs and ensure alignment with sponsor specifications.
* Prepare and update project monitoring reports, presentations, risk registers, schedules, and financial logs.
* Communicate instructions and reminders to project partners and ensure timely submission of deliverables.
3. Project Setup and Execution:
* Support the implementation of project frameworks, operating rhythms, and stakeholder management tools.
* Facilitate risk, issues, and opportunities meetings, track mitigation progress, and maintain logs.
* Update and monitor the Integrated Master Schedule (IMS) and track technical team activities.
* Assist with financial forecasting, VAT breakdowns, and procurement coordination.
* Organize logistics for shipping and transportation of goods, liaising with relevant teams and stakeholders.
* Capture and follow up on meeting minutes, actions, and partner dependencies to ensure alignment.
Meeting Coordination and Support:
* Organize and support project review meetings, dissemination events, and visitor coordination.
* Prepare and present materials for meetings, ensuring prior approval from relevant stakeholders.
* Capture minutes and actions during meetings and follow up as required.
* Coordinate with consortium partners while adhering to communication protocols.
Qualifications and Skills:
* Proven experience in project coordination, administration, or a similar role.
* Strong organizational and multitasking skills with attention to detail.
* Familiarity with public funding processes and documentation requirements is a plus.
* Proficiency in project management tools and software.
* Excellent communication and interpersonal skills.
* Ability to work collaboratively with cross-functional teams and external partners.
* Knowledge of financial forecasting and procurement processes is advantageous.
