13.5 HOURS PER WEEK: Monday - Wednesday 16:15-20:45 but must be flexible to move to cover different shifts if the business requires
We are looking for an efficient, reliable, flexible and effective candidate to provide excellent administrative service throughout the Clinic for patients, students and staff.
Key responsibilities
* Clinic preparation to ensure it is smart, professional-looking and ready for the day.
* Responding to telephone calls and messages in a polite, professional and organised manner; ensuring that messages are communicated accurately and in a timely manner.
* Manage all patient bookings using the computerised patient booking system (Clinic Office).
* This includes new patients and follow-on appointments, missed appointments, cancellations and other information.
* Ensure that all patients complete the necessary registration documentation including consent and evaluation forms.
* Update Clinic Office to reflect all patient data when received.
* Greet patients ensuring they have recorded their car registration information; and notify the appropriate student and/or tutor of the patient's arrival.
* Ensure that the patient record has been retrieved from the filing system and is available to the student ahead of the treatment session. Update the record as necessary and return to the filing system following the session.
* Active participation in all team projects such as digitalisation of patient records
* Process session payments and balance the Clinic takings at the end of each session.
* Provide administrative support to Tutors and Students in the preparation of correspondence for patients, GPs and other professionals.
* Preparing and running reports when necessary.
* Closing down Clinic at the end of the day (as appropriate) ensuring that treatment rooms are prepared for the next day and the building is secure by way of setting the intruder alarm
* Ensure that filing is kept up to date on a daily basis.
* Undertake all compulsory training that is required e.g Data Protection, Prevent etc.
* Provide support to the rest of the Clinic Admin team through the sharing of tasks, participating fully in project activity and, where possible, cover team member's absences.
* Other relevant duties that may be required from time to time.
