Job Description:

The Assistant Office Administrator for CALA Staffbank is employed by and accountable to the Directors of Care and Learning Alliance. The post holder will be line managed by the Office Manager (OM). The post is office based.

This Assistant Office Administrator has responsibility for maintaining designated administrative functions of the CALA Staffbank ensuring commitment to professional support of all service users, marketing of CALA Staffbank services, ensuring client / relief childcare practitioner needs are met whenever possible. This Assistant Office Administrator will work closely with the OM to ensure that the CALA Staffbank runs smoothly and efficiently and will have a sound knowledge and application of office health, safety, security and intellectual assets, principles and practice. The post holder will maintain a tidy and professional work environment.

Professional Knowledge and Understanding

This Assistant Office Administrator will work closely with the Staffbank Officer and be directly responsible for undertaking and monitoring all designated aspects of CALA Staffbank office work.

The Assistant Office Administrator (CALA Staffbank) will do this by:

* Ensuring & maintaining high standards in working practice, reporting any GDPR related issue or concern to the SO
* Working closely with the SO to ensure all office information systems are maintained appropriately; these will include CALA Staffbank data base, scheduling & assignment, payroll and Office 365.
* Working closely with SO to ensure that all policies and procedures are kept up to date and accessible.
* Ensuring accidents/incidents/compliments/complaints records are received from colleagues across the company maintaining accurate overview.
* Prioritising workloads in relation to internal and external needs, the Assistant Office Administrator (CALA Staffbank) will oversee requests coming into the office to meet the needs of Clients, Relief Childcare Practitioners, CALA Core staff and CALA Staffbank.
* Maintaining accurate records for CALA Staffbank Evaluation activity, including collation of feedback.

Professional Skills and Abilities

The Assistant Office Administrator (CALA Staffbank) will:

* Promote and work closely with the SO to ensure a high quality service is delivered to all.
* Work closely with the SO to manage / address all incoming and outgoing mail / email.
* Type and circulate all relevant correspondence, including weekly CALA Staffbank RCP Schedules.
* Provide professional point of contact for CALA Staffbank clients / Relief Childcare Practitioners, matching client's needs with RCP availability and recording bookings accurately on CALA Staffbank's DATA base.
* Monitor receipt and log RCP timesheets on CALA Staffbank DATA base.
* Provide payroll reports for CALA Staffbank Monthly
* Answer the telephone, record queries/action, relay to appropriate person or respond where necessary
