The Administrator at the Sir John Colfox School will manage the FM Helpdesk, ensuring all requests are logged, prioritised, and completed on time. They will maintain the computerised system for reactive and planned maintenance, monitor performance, and support effective contract delivery. A successful candidate will be organised, detail focused, and able to coordinate the FM team and suppliers to ensure a high standard of service across the school. This role is employed by Bellrock and based at The Sir John Colfox School, one of Bellrock’s valued clients.

And as an Administrator with Bellrock, you’ll do it by
* Maintain a safe and organised FM office environment
* Manage the FM helpdesk, logging and tracking maintenance requests and communicating updates to the client
* Support the Facilities Manager with meetings, site activities and contractor coordination
* Operate booking systems and handle reception or general office enquiries
* Raise purchase orders, process invoices, and maintain financial and cost records
* Liaise with clients, contractors, and internal teams to ensure smooth service delivery
* Maintain compliance diaries and assist with administrative and filing tasks
* Manage third party bookings for evening and weekend events on occasion
* Follow all company HR policies and procedures
What does it take?

* Able to work effectively both as part of a team and independently
* Confident in managing own workload and prioritising tasks
* Strong communication and customer service skills
* Good analytical ability with confidence in handling and interpreting data
* Proficient in Microsoft Office, databases and spreadsheet applications
* Experienced in a busy office environment, handling enquiries, correspondence, reports and general administration
* Knowledge of quality procedures and attention to detail
* Experience with finance systems, Microsoft Outlook and Excel, or in a PA or executive assistant role is desirable due to the complexity of Bellrock’s systems.
Working arrangements
This is a full time onsite position Monday to Friday based at Sir John Colfox School, Dorset, DT6 3DT, working from 08:30 to 16:30 with a half hour lunch break.
