Clerical Officer – Ophthalmology Department

Location: Portsmouth Hospitals University NHS Trust
Hours: Monday – Friday, 08:00–17:00 (flexible within these times)
About the Role
We are looking for enthusiastic and motivated individuals to join our Ophthalmology Outpatients team as Clerical Officers. This is an excellent opportunity for those with administrative experience or for school/college leavers seeking an entry‑level role in healthcare administration.
You will play a key role in supporting the smooth running of our busy department, ensuring patients receive an excellent experience from the moment they arrive.
Key Responsibilities
* Book outpatient appointments and support theatre and elective bookings.
* Provide administrative support including reception duties, telephone handling, filing, and data entry.
* Communicate appointment and admission details to patients and carers.
* Prepare and maintain accurate patient records and correspondence.
* Assist with validation of patient tracking lists (PTL).
* Handle incoming and outgoing mail and manage group mailboxes.
* Ensure confidentiality and compliance with Trust policies at all times.
Essential Requirements
* GCSEs (Grade C or above) or equivalent.
* Good literacy and numeracy skills.
* Excellent interpersonal and communication skills.
* Computer literacy, including Microsoft Office.
* Ability to work independently and manage time effectively.
Desirable
* Previous clerical experience in a busy environment.
* Experience in healthcare administration.
* Knowledge of hospital systems (PAS, Minestrone, Opera).
