At New Look, our property decisions play a vital role in how our customers experience the brand. We're looking for an organised and proactive Estates Assistant to join our Leasing and Estates team on a 12-month maternity cover FTC, supporting the day-to-day delivery of our UK property operations during a key period for the estate.
This role sits at the heart of the property function, working closely with Retail, Finance, Legal and external advisers to ensure our stores are trading from the right space, in the right locations, at the right cost
WHAT YOU'LL BE DOING:
Providing day-to-day administrative and operational support to the Leasing and Estates team
Managing property inboxes and acting as a key point of contact for landlords, agents and solicitors
Supporting lease administration, including tracking documentation, signatories and post-completion filing
Raising and processing purchase orders, invoices and one-off property payments via SAP
Maintaining accurate trackers covering fees, SDLT, MCC appeals, BID ballots and turnover certificates
Coordinating property inspections and audits across the estate
Liaising with Finance, Retail and external advisors to ensure changes to lease terms, rent and costs are accurately communicated
Supporting cost control by tracking spend and chasing outstanding fees
Escalating issues appropriately in the absence of senior team members
ABOUT YOU:
Highly organised with strong attention to detail
Confident communicator, both written and verbal, with a professional telephone manner
Comfortable working with multiple stakeholders in a fast-paced environment
Able to manage competing priorities and work independently using your own initiative
Proficient in Microsoft Office, particularly spreadsheets and document management systems
Previous experience in property, legal, estates or a similar administrative role is desirable
A positive, team-focused approach with a willingness to learn
