Role Purpose
JLL Integrated Facilities Management (IFM) is currently searching for a confident and ambitious Reception Services Coordinator who is reporting to the Facilities Manager/Senior Facilities Manager. Working as part of the overall Facilities Team, this role will be responsible for the coordination of Reception Services across a campus or region in conjunction with site IFM teams in addition to general reception duties.
What this job involves
Overall responsibilities include:
1. General reception duties including checking in visitors, answering telephone, providing assistance etc.
2. Support and leadership of onsite reception teams
3. Ensure visitor management systems are up to date and visitors are pre-registered
4. Coordination of reception teams to ensure all reception desks have adequate cover especially during peak times
5. Ensuring the seamless handover to and from security personnel at the start and end of shifts
6. Ensuring general condition of reception areas
7. Ensuring service excellence across campus or region
8. Coordination of service support such as Technicians and Janitorial for resolution of issues
9. Ensuring new processes and standards are implemented across sites in conjunction with Program Manager
10. Coordination and delivery of training to reception teams
11. Operational oversight of campus or region, linking with Program Manager for implementation of global or regional practices and standards
12. Acting as point of escalation for issues, feeding back to Program Manager where required
13. Ensuring compliance with EHS requirements and standards, and ensuring visitor needs are met if they require additional support or assistance moving around site
14. Convey relevant feedback to Line Manager and Program Manager when appropriate
15. Managing reception area furniture and equipment, making recommendations for improvements
16. Set up and maintain relationships with local security teams
17. All other tasks and duties as required
Key Performance Indicators
18. Previous experience working within a high-profile corporate environment
19. Previous reception supervisory experience is desirable
20. Facilities Management exposure would be beneficial
21. Fluency in English and local language
22. Proficient knowledge of Microsoft Office Pack
23. Very high attention to detail
24. Outstanding customer service skills with the ability and confidence in communicating to customers at all levels, both written and verbal
25. Ability to maintain professionalism at all times and be an ambassador of the team
26. Be an excellent team player with the want to go above and beyond for each other
