Team
The Executive Support function sits within Strategic Operations and exists to enable Mozilla Foundation’s senior leadership to operate with clarity, focus, and impact. The team provides high-quality administrative and strategic support that strengthens coordination across executive portfolios, builds strong internal and external relationships, and ensures smooth day-to-day operations in a fully distributed, mission-driven organization.
This Executive Assistant role will provide dedicated support to three senior leaders: the Chief Operating Officer (COO), the VP, Strategic Communications, and the VP, Finance & Administration. Working closely with these executives, the EA plays a critical role in enabling effective leadership, supporting organizational priorities, and reducing operational friction across multiple functions. This EA role is based remotely in the UK.
Job responsibilities
Here are some projects you'll likely work on in your first 6 months:
1. Establish trusted working rhythms with the COO, VP Strategic Communications, and VP Finance & Administration, including preferences, priorities, and communication styles
2. Take full ownership of complex, multi–time zone calendars and meeting coordination
3. Streamline scheduling, travel, and administrative workflows across the three executive portfolios
4. Support logistics and preparation for leadership meetings, cross-functional forums, and external engagements
5. Build strong working relationships with other Executive Assistants and Executive Program Managers across Mozilla Foundation
6. Identify opportunities to improve executive support processes and documentation in a remote-first environment
As an Executive Assistant at Mozilla Foundation, you will…
7. Manage complex and evolving calendars across multiple time zones, prioritizing effectively and anticipating conflicts
8. Coordinate meetings end-to-end, including preparation, agendas, briefing materials, and follow-up on action items
9. Plan and manage domestic and international travel, including itineraries, visas (where applicable), and logistics
10. Handle administrative processes such as expenses, approvals, correspondence, and document management
11. Serve as a key liaison between executives and internal and external stakeholders, exercising sound judgment and discretion
12. Support logistics for executive participation in meetings, events, presentations, and convenings
13. Track commitments and ensure timely follow-through on executive action items
14. Provide backup support to other Executive Assistants during absences
15. Proactively anticipate executive needs and surface solutions before issues arise
16. Assist with preparing documents, slide decks, and briefing materials
17. Continuously look for ways to improve systems, tools, and processes that enable executive effectiveness
Your Professional Profile:
18. At least 5 years of experience supporting senior leaders in complex, mission-driven or matrixed organizations
19. Proven ability to manage competing priorities with excellent judgment, discretion, and professionalism
20. Exceptional organizational skills and attention to detail
21. Strong written and verbal communication skills
22. Demonstrated experience working across time zones in remote or hybrid environments
23. High degree of integrity and comfort handling confidential information
24. Proficiency with Google Workspace, Zoom, and asynchronous collaboration tools

Salary and Benefits Information:
Mozilla Foundation is dedicated to fair and equitable compensation for our staff. We aim to pay a competitive and market-based salary based on the responsibilities and requirements of the role. We do not ask for, or take into account, salary histories in our offer process.
The starting salary range for this role in the UK is £33,242.40 to £37,341.58 annually.
Some regions fall into a higher salary market and this is reflected in the example range below:
29. London: £41,553.00 to £46,676.98 annually
