We’re looking for a highly capable Executive Assistant to support our Executive Leadership Team (ELT). This is a pivotal role at the heart of our organisation — ideal for someone who loves variety, values trust and discretion, and brings energy and clarity to complex operations. As our Executive Assistant, you’ll be the trusted right hand to the ELT—managing priorities, coordinating governance processes, and ensuring seamless communication across the organisation. You’ll work closely with the Chief Executive, Chairman, trustees, senior leaders, external partners and stakeholders, acting as a key point of contact and a driving force behind effective executive operations. Key Responsibilities EXECUTIVE SUPPORT * Manage complex diaries, priorities, and workflows for the ELT. * Anticipate needs, resolve scheduling clashes, and ensure leaders are fully prepared for meetings. * Coordinate meetings and events, including preparing agendas, papers, and minutes. * Act as the main contact for the Chairman on scheduling, board preparation and governance matters. * Ensure adherence to governance frameworks, deadlines, and accuracy of information. * Prepare minutes, decision logs, and action trackers for Board and Committees. * Support onboarding and communication for trustees and non‑executive members. PROJECT & STRATEGY SUPPORT * Provide administrative and project support across the ELT. * Assist in developing board reports, performance dashboards, business plans, and strategic documents. * Support internal communication and information flow across the organisation. * Coordinate cross‑departmental workshops, leadership sessions, and meetings. STAKEHOLDER MANAGEMENT * Act as the central contact for internal and external stakeholders seeking Executive access. * Liaise with local authorities, community leaders, suppliers, regulatory bodies, and enforcement agencies. PERSON SPECIFICATION ESSENTIAL SKILLS & EXPERIENCE * Outstanding organisational, diary management, and prioritisation skills. * Excellent written communication and document production abilities. * Experience with governance processes, board papers, or committee administration. * Ability to handle confidential information with professionalism. * High proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Word, SharePoint). * Confidence working with senior stakeholders and public sector partners. DESIRABLE * Experience in charity, public sector, community, health, or leisure settings. * Understanding of charity governance or trust structures. * Project coordination experience.
