Our client is a fast-growing independent television production company with a reputation for making innovative and popular scripted and unscripted shows. They're now seeking a highly motivated and resilient individual for a demanding and fast-paced position. This role requires adaptability, strong problem-solving skills, and the ability to thrive under pressure in a high-intensity environment. The Assistant Office Manager will provide stability and support to the day-to-day operations, allowing the Office Manager to focus on strategic tasks. Experience using Microsoft Office Applications are a must for this role.
Responsibilities:
* Managing the reception desk during working hours.
* Coordinate with runners to cover reception from 8:30 AM – 9:00 AM and 5:30 PM until close, as well as during lunch breaks.
* New joiner's paperwork (RTW check and equipment sign-out forms) ensure this is completed and loaded onto the relevant systems.
* Company Asset log management – Log all laptops and equipment given out and swapped.
* Meeting room bookings
* Sole user and reconciler of Office Manager company credit card purchases (after OM approval) - maintaining meticulous records.
* Reconcile and create runner floats for Office Manager approval.
* Efficiently manage the office inbox, ensuring prompt and effective responses to all emails.
* Keep runners on task and delegate new tasks as they come in.
* Ensure smooth workflow.
* Engage and ensure work experience complete their allocated tasks and allocate any additional tasks.
* Report concerns, queries, commendations, and potential process issues to the Office Manager.
* Train new runners on processes and procedures.
* Act as the lead fire warden and first aider on site. (Training provided)
* Regular check-ins with the Office Manager.
* Opportunity to learn about office management and attend training courses.
* Visibility and guidance from the Office Manager.
* Assisting Development with the download of media
Skills required:
* Strong previous office or reception experience.
* Keen interest in stepping into a leadership role.
* Excellent organisational, time management and communication skills.
* Ability to deliver consistent results, often with tight deadlines and competing priorities.
* Ability to take ownership of challenging tasks.
* Ability to adapt quickly to evolving circumstances, displaying resilience and a solution-oriented mindset.
