Failsafe and Administration Manager

The Lung Cancer Screening Programme aims to enable the early detection of lung cancer, improving patient outcomes and saving lives. With the National Screening Committee's review and approval, the programme is set to be implemented nationally from 2028/29.

This programme targets individuals aged 55-74 with a smoking history who are registered with participating GP practices. Patients are assessed for lung cancer risk through telephone screening using an accredited risk assessment tool. Advanced systems are utilized to identify high-risk individuals, who are subsequently scheduled for low-dose CT scans, allowing for early detection and better treatment options.

The Failsafe and Administration Manager will be responsible to oversee the effective management of the recall pathway, ensuring that all patients are booked for their recall scans within set KPIs. The post holder will be responsible for maintaining patient pathways in line with National Protocols and Quality Assurance Standards, conducting audits, and ensuring the smooth administration of the screening programme. The role also involves managing the communication and data flow between patients, the screening team, and other stakeholders, including the PACS team and private providers.

Secondment will be considered for internal candidates - If you are successful after interview, you must obtain approval from your current line manager to accept the offer.


Main duties of the job

The Failsafe and Administration Manager will be responsible for managing the Administration Team and Apprentices, providing leadership, training, and support to ensure effective team performance. This includes coordinating day-to-day administrative tasks, ensuring high-quality service delivery, and fostering a positive working environment that promotes continuous development for the Apprentices.

The Failsafe and Administration Manager will work closely with various teams to ensure the programme operates smoothly, maintaining high-quality service standards. This position may require travel to CT scanner sites within Coventry and Warwickshire and other hospital locations to deliver equipment or assist with service needs. The post holder should have access to a vehicle for work purposes.

The service operates six days a week,

Monday - Friday: 0800 - 2000

Saturday: 0900 - 1300

This role requires working Monday - Friday: 0900 - 1700

Job responsibilities

* Conduct proactive telephone screening to assess lung cancer risk, following national protocols.
* Book appointments for eligible patients at local mobile scanning clinics.
* Provide compassionate and professional communication, addressing patient concerns and offering support.
* Assist patients with booking appointments for Low Dose CT scans at local mobile clinics, managing appointments with attention to detail and strong organisational skills.
* Collaborate with Lung Cancer Screening Specialist Nurses, ensuring patients are well-prepared for their appointments, and escalating high-risk cases during consultations.
* Offer reassurance and support to patients, especially in complex situations, using empathetic communication techniques.
* Respond to telephone queries and monitor the Lung Cancer Screening generic email inbox.
* Maintain strict patient confidentiality and compliance with data protection regulations.
* Escalate clinical concerns to specialist nurses or other healthcare professionals for further assessment.
* Support patients from diverse backgrounds, utilising interpreter services where required.
* Accurately add encounters to EPR and referrals for patients requiring secondary care.
* Communicate effectively with patients who may have difficulty expressing themselves, using de-escalation techniques when necessary.
* Provide VBT (Very Brief Advice) to current smokers, offering encouragement and support to quit smoking.
* Work collaboratively with multidisciplinary teams, sharing knowledge while respecting role boundaries.
