Document Controller
Location: Glasgow with visits to Helensburgh.
As part of the Clyde 2070 mission, this role will administer QA checks in the Project Information Model Common Data Environment and coordinate document management activities across the project.
Responsibilities
* Administer QA checks across all submissions to the Project Information Model Common Data Environment, Viewpoint for Projects.
* Coordinate all activities in line with the Document Management Plan.
* Produce reports highlighting items requiring action or overdue, and issue to action owners.
* Manage and issue Information Transmittals in line with prescribed project distribution.
* Update Task Information Delivery Plans for the Project Team and assist the Senior Information Manager with collection and collation.
* Apply a security‑minded approach when processing and handling all information and correspondence, following classification and sensitivity requirements.
* Provide guidance on document requirements in line with the Document Management Plan.
* Support all end users of Viewpoint for Projects, primarily troubleshooting issues or providing guidance.
* Act as the main point of contact for ongoing support and coaching related to Document Control activities, including third parties such as client teams, designers and subcontractors.
* Maintain documents and drawings within the Project Site Offices under safe custody, ensuring easy traceability.
* Control and store information in the internal SharePoint site for easy retrieval using searchable metadata and tags.
* Assist the Senior Information Manager with archiving information in line with the Data Retention and Archiving strategy.
* Maintain regular communication and good rapport with the Client’s Document Control team and proactively resolve any issues or queries.
Other Details
* Role based in Glasgow City Centre office for a minimum of 3 days per week, with 2 days available to work from home.
Qualifications
* Experience working with OFFICIAL and OFFICIAL‑SENSITIVE information and associated handling requirements.
* Diverse and clear communication skills with multidisciplinary design teams, client teams, subcontractors and the wider supply chain.
* Experience on projects with large volumes of data and information from various sources.
* Ability to handle multiple situations simultaneously and efficiently.
* Competent user of Viewpoint for Projects or strong experience with another Electronic Document Management System (e.g., Asite).
* Awareness of ISO19650 and preferably a working knowledge of its application across the lifecycle of a project.
