Our Building Services team are looking for a Business Support Manager to join the team on-site at one of our projects in London. The purpose of the role will be to Provide administrative support to the BARL technical Teams and ensure contract compliance.

You’ll:
1. Management of all sub-contractor logbooks, including filing of service records and permit documentation cross referencing the CAFM system as required to ensure correct information is recorded
2. Manage all parties on the site compliance documentation and issue of compliance reports
3. Manage and archive building services certifications and inspection records (e.g., HVAC, electrical, plumbing), ensure timely gathering of evidence inline with PPM Schedule
4. Manage process of Information handover between internal Projects Team and Operations Team (Drawings, Asset & Task Creation, RDS and O&Ms)
5. Administer site compliance reports and update site RAG, based on compliance evidence
6. Liaise with the Administrators/Senior Administrators to book access to secure areas for engineers and contractors as required
7. Undertake any other reasonable tasks that may arise as required by the Project Director/Technical Support Manager/Technical Manager
8. Administration of compliance documentation and sub-contractor logbooks
9. Organise and schedule meetings, prepare agendas, and take minutes
10. Management of Document Controller(s)
We’re looking for:
11. Proven experience in the proficient use of MS Office
12. Ability to learn and adapt processes
13. Ability to use MS Office packages
14. Excellent communications skills with good verbal and written communications; ability to communicate at all levels
15. Client / Supplier relationship management
16. Organisation of site documentation
17. Knowledge and experience of CAFM system, reports, and ability to interrogate historic reactive and PPM data
18. Reflect the ethos of Skanska, client, and customer, working and influencing positive attitude and the ability to preserve confidentiality
19. Understanding of compliance documentation and how sub-contractor logbooks are populated and maintained
20. Understanding of the commercial process for raising orders and linking to the CAFM system
21. Adaptability to communicate at all levels
