We have an exciting opportunity to join our Siemens mobility team in Goole as an Office Manager and Personal Assistant. We are looking for someone to provide comprehensive Office management and Management Assistance to an executive within our Customer Service management team. You will serve as a key point of contact, managing face-to-face meetings and telephone contacts with internal and external customers. Additionally, you will provide administrative support to the wider departmental team to enhance overall efficiency and success.
You’ll make a difference by…
As a Personal Assistant
* Scheduling appointments and meetings, ensuring calendar priorities are maintained and aligned with the director's needs.
* Coordinating travel arrangements, processing travel and expense reports promptly.
* Setting up and facilitating conferences or events, liaising with corporate communications and public relations teams. Managing resources and priorities accordingly.
* Preparing correspondence, reports, presentations, statistical charts, and briefings, including data collection from across the Customer Service business.
* Capturing and coordinating meeting actions for Customer Service management meetings and strategy sessions.
* Supporting the delivery of written proposals by reviewing and consolidating documents into professionally formatted presentations.
* Supporting local line management with people management processes such as onboarding, organization charts, HR support, approvals, and PMP.
* Liaising regularly with senior members of customer, supplier, and business partner organizations to build strong, professional relationships that facilitate mutual cooperation.
As an Office Manager
* Managing Document Controllers, Project Administrators, Receptionists, and administrative staff, ensuring efficient deployment of resources and accurate work recording.
* Handling recruitment, goal setting, and appraisals for direct reports.
* Creating office-wide rotas for safety tours, liaising with EHS managers, and conducting safety-related activities.
* Ensuring the office complies with legal and audit requirements through regular liaison with Siemens Real Estate and contractors.
* Maintaining technical documentation and legal compliance documents for audits, and managing business continuity plans.
* Participating in landlord and managing agent meetings, managing service charges, and addressing building safety and maintenance issues.
* Organizing fire drills, liaising with fire officers, and acting as a Chief Fire Warden.
* Managing out-of-hours work for premises maintenance, coordinating PAT testing, and serving as the main contact for office inquiries and guidance.
* Overseeing record retention, security of files, and managing the archive process, including data termination and disposal.
The Customer Service business operates across multiple UK sites. While primarily based in a single office, the role requires mobility to support activities, reviews, and events across the business.
Your success will be grounded by…
Essential:
* Experience working in a multi-site matrix organization with multiple stakeholders.
* Proven experience providing PA and administrative support at a director level.
* Excellent organizational skills with the ability to prioritize and work independently.
* Strong communication and 'front of house' skills.
* Advanced proficiency in at least two office applications (Word, Excel, PowerPoint, Outlook, Project, Visio) with the ability to create and manage graphics.
* High attention to detail and presentation skills.
* Focus on achieving business results and effective team collaboration.
* Experience handling confidential information and understanding data protection principles.
Preferred:
* Knowledge of Siemens tools, policies, and processes.
* Understanding of German language.
* Word processing and MS Office training or qualifications.
* Experience in event, conference management, or hospitality.
