Fundraising & Communications Administrator
Hoop Professional Services are proud to be working with an amazing not for profit organisation based in Cardiff who are looking for a strong Administrator to sit within the Fundraising team. This is a great opportunity for someone who is looking to develop their administration skills further.
This is a full-time, 4-month fixed-term contract, based fully onsite on the outskirts of Cardiff, offering a salary of up to £25,500.
The role involves processing donations, managing fundraising materials, maintaining accurate records, and supporting marketing activities. You’ll also help coordinate events, liaise with volunteers, and ensure compliance with data protection and fundraising regulations.
Key Responsibilities:
* Maintain and update accurate donor and financial records using the organisation’s database.
* Process donations, receipts, and acknowledgements in line with policies and financial procedures.
* Prepare and send fundraising materials, welcome packs, and merchandise to supporters.
* Monitor shared inboxes and phone lines, responding to supporter and stakeholder queries promptly and professionally.
* Assist with preparation of fundraising applications and general documentation for internal and external use.
* Support marketing activities such as updating the website, producing newsletters, and scheduling social media content.
* Coordinate and distribute event materials; provide administrative support for event planning and occasionally attend events when required.
* Take minutes at meetings, track actions, and assist in preparing reports for management.
* Manage inventory of fundraising merchandise and maintain stock records.
* Handle data imports from fundraising platforms, reconcile discrepancies, and generate regular reports for analysis.
* Ensure compliance with GDPR, fundraising regulations, and internal policies when managing data and communications.
Requirements:
* This position requires a DBS.
* Strong administrative skills with experience in managing records and data accurately.
* High level of organisation and attention to detail, with the ability to manage multiple priorities.
* Excellent IT skills, including Microsoft Office and familiarity with databases.
* Effective written and verbal communication skills, with a professional and approachable manner.
* Ability to work independently and as part of a team in a busy environment.
* Experience with financial processes or handling donations.
* Knowledge of fundraising administration or CRM systems.
