Ensuring Service delivery, day-to-day coordination and administration of contract, ensuring operational performance, reporting and invoicingare maintained. The role involves monitoring repair orders, producing operational reports, coordinating engineer activities, managing financial administration, and ensuring communication between operational teams, clients, and stakeholders runs efficiently. Produce, review, and update operational reports including complete not invoiced reports Monitor outstanding jobs and overdue works, identifying jobs requiring escalation to ensure KPI performance targets are met. Work on client systems and internal systems to pull reports, analyse data, and update records. Raise new repair orders and ensure jobs are correctly logged in the system. Update, progress, and close jobs, including adding SOR codes, uploading quotations, writing job reports, and maintaining spreadsheets. ordering parts, allocating parts, and chasing outstanding items. Monitor and manage engineer allocations, schedules, and attendance (including holiday and sickness records). Prepare and process client invoices in line with completed works and contract requirements. Match purchase orders to invoices and clarify discrepancies. Raise and send purchase orders as required. Record and apply deductions for engineer lateness and monitor costs against contract budgets. Review and action correspondence from engineers, operational staff, and clients. Respond to internal and external emails, ensuring requests are directed appropriately. Answer incoming calls from residents, engineers, and internal teams. Attend client meetings when required and provide updates on job progress. Collect, review, and sign engineer timesheets. Process weekly timesheet submissions, including out-of-hours timesheets, ensuring accuracy and completeness. Upload and amend project team quotations in client systems. Support the Contract Manager with day-to-day operational and administrative tasks, including preparing reports as required. Send daily outage reports and maintain system records to ensure service delivery efficiency.
