Trust Medical Secretary
We are looking to recruit a Trust Medical Secretary to join the Paediatrics team at Norfolk and Norwich University Hospital. The role supports the Senior Medical Secretary and ensures continuity of service during the Consultant’s absence.
Responsibilities
* Act as the primary point of contact for all communications between the Consultant, patients, relatives, hospital staff, GPs, and outside agencies.
* Deal efficiently with direct and indirect enquiries from patients, medical and nursing staff, GPs, Social Services and other health professionals.
* Respond to enquiries, providing routine and non‑routine information and non‑clinical advice, resolving problems where possible.
* Accurately transcribe all correspondence by touch typing from audio/digital dictation or shorthand using medical terminology, and generate routine and non‑routine correspondence independently.
* Update RTT in accordance with Trust guidelines and assist the Administration and Clerical team with data management using PAS and other departmental patient databases.
* Promptly action clinical investigations, results and outcomes; manage waiting lists (outpatient, inpatient) and, when necessary, escalates to senior staff.
* Add patients to waiting lists, prioritising based on urgency and patient preference.
* Arrange urgent admissions directly from clinic and ambulatory care areas, liaising with ward, theatre and clinic teams.
* Respond to omissions or problems in the scheduling of follow‑up appointments, analysing the situation and overbooking clinics when necessary.
* Support meetings with minute‑taking as required.
* Maintain diaries and process leave requests, coordinating with relevant departments to ensure service continuity.
* Assist Appointment Booking Clerks in managing Outpatient waiting lists, advising on patient priority and referring to colleagues for guidance.
* Make Outpatient appointments as required and in response to urgent referrals.
