Main Function of the role:
To provide dedicated PA/secretarial support to the Head of Global Emerging Markets & Lead Portfolio Manager and administrative support to the nominated Investment Equities areas as required (circa 20 employees).
Key task and responsibilities:
• Provide full and efficient secretarial and administrative support to the Head of Global Emerging Markets, Lead Portfolio Manager and the team (as appropriate): plan and book travel arrangements, assist with visa requests for global travel, expense claims, draft letters/correspondence, organise diaries, arrange lunches/events, field telephone calls, maintain filing etc.
• Provide efficient administrative support to the other Equities teams: worldwide travel, assist with visa requests for global travel, diary management, meeting coordination, worldwide and general office administration.
• Manage expense claims and other related administration for the teams.
• Maintain various management reports and records, including holiday and absence reports, updating of the intranet sites for the Equities teams.
• Maintain the filing where required.
• Maintain and coordinate continuing and trainee competency records for teams.
• Manage the administration of Global Emerging Markets (GEMS) team meeting minutes and Selection and Allocation results.
• Attend and take the minutes for the monthly Global Equities monthly meeting
• Support the Global Emerging markets team by monitoring their daily votes sheet
• Manage the administration of the GEMS’ travel budget.
• Update and maintain contacts for GEMS as well as the inputting of business cards into relevant folders for team members.
• Co-ordinate with other PA’s as necessary.
• Adhere to the FCA’s Conduct Rules, understanding that they set basic standards of good personal conduct
Minimum knowledge and Experience required:
• Attend and take the minutes for the monthly Global Equities monthly meeting
• Experience in a fast paced, client focused environment, performing a similar role, in a similar sector, supporting teams.
• Experience of actively managing busy schedules
• Experience of arranging and booking complex overseas travel and arranging visas and ground services
• Comfortable working at a senior level and liaising with senior fund managers
• Must demonstrate “can do” attitude and work independently and as part of a large team
Candidate Profile:
A confident, articulate individual with first-class PA skills. A pro-active approach to work and a “can do” attitude are essential. A strong communicator, with excellent interpersonal skills and the ability to liaise effectively at all levels.
• Advanced levels of Word, Excel, Outlook and PowerPoint
• Highly organised; able to prioritise effectively and juggle multiple tasks
• High level of diplomacy and confidentiality
• Team player; willing to ‘muck in’ to get things done
• Numerate
• Excellent communication skills (oral and written)
• Pro-active and able to diplomatically ‘manage’ the fund managers being supported
• Able to interact with senior executives in a professional and confident manner
• Calm under pressure
• Flexible in approach
