The Role This is a varied and fast-paced role, supporting the smooth running of the office across several key areas:
Switchboard & Customer Service
1. Handling a high volume of incoming calls professionally and efficiently
2. Assessing and directing new client enquiries
3. Logging and escalating any customer concerns
4. Acting as a first point of contact and representing the firm with professionalism
New Client Administration
5. Inputting new client matters onto the case management system
6. Preparing client retainer documents and onboarding materials
7. Conducting conflict and AML checks
8. Supporting the fee-earning team with file opening and administrative tasks
Front of House & Facilities
9. Welcoming clients and visitors to the office
10. Managing room bookings and assisting with meeting setup
11. Monitoring and ordering stationery and supplies
12. Maintaining a professional office environment
Post Room & General Admin
13. Coordinating incoming/outgoing post
14. Handling confidential documents with discretion
15. Supporting wider administrative functions such as scanning, copying, and document collation
About You The ideal candidate will have:
16. GCSE Maths and English (Grade C/4 or above) or equivalent
17. A strong telephone manner and communication skills
18. Good organisational skills and attention to detail
19. Basic IT skills (Microsoft Office: Word, Excel, Outlook)
20. A team-oriented attitude and willingness to learn
21. Previous experience in an office or customer service environment is advantageous
