Overview
The Events Coordinator supports the execution of multiple Owner and Prospect for UHNWI client events throughout Europe. The role involves pro-actively maintaining and supporting systems, managing invitation guest lists, managing assigned events, providing support on larger events, and assisting in all other areas of event organisation to ensure the department runs smoothly, and events are on-brand, on-time and within budget. The position requires 30% travel to events Europe-wide.
Responsibilities
* Assist in the planning of large, high-profile events with a constant focus on budget parameters.
* Support Events Leads with the management of larger, high-profile Owner events.
* Manage allocated headline events, smaller partner events and statics, including pre-event and on-site briefings, coordinating with suppliers and the Sales team before and during events.
* Ensure on-site flawless execution, including pre-event communications, guest arrival process, onsite management, onsite print, Owner gifts, post-event communication, etc.
* Wrap up events with post-event reporting and analysis.
* Prepare all relevant event documentation.
* Collaborate with relevant teams across the business to support flawless event execution.
* Produce clear project plans and event budgets, coordinating with Marketing and Communications.
* Prepare and ensure contracts are in place for each event and signed and returned by clients.
* Oversee respective event budgets related to projects.
* Contribute to all aspects of event management from location selection to catering, etc.
* Execute events efficiently with attention to detail and continuous improvement; ensure alignment with NetJets branding.
* Manage Owner communications inbox for events in progress to identify opportunities to enhance the Owner experience.
* Maintain excellent response skills and first-class client interactions; raise POs for events and submit invoices in a timely manner; keep invoice tracker up to date.
* Manage team travel and shipments to events; handle contracts and AFEs.
* Communicate pre-event attendee information to the Sales team and provide post-event attendance data for analytics.
* Facilitate solutions for any event issues; problem-solve quickly and proactively to achieve the best outcomes.
* Liaise with the Events Leads to reach the best solution; think quickly and act proactively to deliver top results for clients.
* Support the Events and Marketing teams in achieving company and event goals and objectives; align with yearly event goals set by the Senior Events and Partnerships Manager.
* Maintain a can-do attitude and adapt to change; contribute to the overall success of the Events programme and provide a platform for the Sales Team to engage clients and prospects.
* Track flight revenue and new deals within the events programme; continuously seek better results and improve systems/processes; research new projects for the NetJets events programme.
Education
Bachelor's in Events Management or related field

* Minimum 3 years’ experience in the luxury events industry;
* Fluent in English, both written and verbal;

* Highly organised with excellent planning skills and ability to prioritise tasks;

Preferred
* Post Graduate in Events Management;
* Knowledge of one or more European languages (French, German, Italian preferred);
* Experience with Salesforce;
* Experience dealing with VVIP/High Net Worth Individuals.
