Description Job title: 1008-310 Team Administrator | Grade: C | Hours: 35 | Salary: £32,030 | Vacancy type: Permanent | Location: Flexible | Closing date: 11 July 2025 | Internal Interviews: TBC 2025; External Interviews: TBC 2025. Job Purpose Summary To provide the Team Administrator function across two busy business support service teams - Technology & Digital Services (T&DS) and Workplaces Team (Workplaces). The post holder will support the two Team Managers in successfully achieving their operational objectives through co-ordination of administrative systems and processes. This principally involves supporting and advising on budget and financial management, as well as support with project management, business and team planning, communications, team meetings and Health & Safety duties. Areas of Responsibility Provide the two Team Managers with an overview status of their Activity Budget. Be responsible for undertaking financial housekeeping exercises, providing finance support, advice and progress updates to the two managers as necessary. This includes monitoring spend under the team’s CAPEX and OPEX budgets, updating the two managers and the BS&T Strategic Resource Manager and Finance Team during monthly finance meetings, using encumbrances and/or earmarking to identify future spend, and making amendments to budgets through surrenders or bids for additional funds as required. Project manage T&DS/ WFS Operational budgets and support other project managers in the teams as required with the raising of purchase orders. Project manage the ‘Scotrail Business Direct Service’ through the recharging of tickets to relevant teams in NatureScot. Undertake purchases on behalf of both teams using a Government Procurement Card (GPC) and completing a monthly reconciliation. Provide administration support for property-related tasks. This includes support for workplace occupancy agreements including the financial processing of invoices for Memorandum of Terms of Understanding (MOTUs) at large and local offices as required. Lead on Health and Safety (H&S) within T&DS & WF&S by: acting as H&S Co-ordinator (role description available); contribute to the work of the H&S Forum; and, support the two team managers with the holding of quarterly H&S conversations. Maintain an overview of Inventories, including appropriate entries for new purchases. Collate end of year financial information for yearly reporting on Inventory of equipment, Protective Clothing stock and Fixed Asset Accounts for Finance. Monitor and support T&DS and WFS compliance with relevant administrative processes, including Business Planning and Information Management requirements. Ensure T&DS (only) information is held securely and that RLO functions are carried out within guidelines. Organise arrangements and provide secretariat support for team meetings and team managers’ meetings. Provide support for any other team-related meetings including ‘Away Days’. Organise arrangements and provide secretariat support for Information Technology Implementation Plan (ITIP) Meetings. Essential Skills (Please refer to these in your Supporting Statement) An understanding of accounting principles and processes, and experience of managing budgets and using financial management information Understanding of procurement processes and experience of dealing with financial transactions In depth knowledge and understanding of NatureScot’s administrative structures and processes Ability to provide project support to relevant project teams Knowledge and competency in using Fusion (particularly the procurement & finance function), eRDMS, Business Planning System, or have relevant experience with other systems. Knowledge and competent with the use of MS365, particularly Excel and MS Teams Good interpersonal skills with an ability to work in partnership, to foster good relations and to encourage actions by others Proven ability to work accurately and to deadlines Ability to work on own initiative and innovative in approach to problem solving Ability to work with colleagues at all levels Prerequisites Required: To undertake a Disclosure Scotland application. Although Gaelic language is not a prerequisite it is a desirable skill in support of our commitment to our Gaelic Language Plan. Applicants must be eligible to live and work in the UK and resident in Scotland for the duration of the job contract Skills Required (Please refer to these in your Supporting Statement) Programme, project, data and risk analysis, management and governance. Finance and budget management, with proficiency in excel; Knowledge of Best Value requirements and procurement processes. Ability to plan and prioritise workloads. Staff leadership and management. Excellent communication skills, both written verbal and visual, including knowledge of audiences and appropriate delivery techniques. Experience of preparing briefings and/or papers for Board and/or Management Team information, discussion or decisions. Ability to resolve problems, including assessment of options and the use of novel and innovative techniques. Comfort with operating in a dynamic team working environment with an ability to learn and adapt to new circumstances, and work collaboratively.
