Overview
The Pathology Service is looking to recruit an experienced lead secretary who can provide secretarial assistance to the Pathology Senior management team as well as day‑to‑day management of the Pathology admin team.
The lead secretary will be responsible for day‑to‑day management of the clerks providing support and will act with compassionate and inclusive leadership to shape a collective leadership culture within the team.
Key Responsibilities
* Provide support to the management team, taking minutes at a range of meetings and updating Health Roster, ESR, and other administrative records.
* Manage diaries, produce documents for staff such as HR letters and minute‑taking meetings, and ensure staff are aware of outstanding mandatory training and adhere to completion as part of the Trust policy.
* Liaise with the Human Resources advisor to arrange meetings and provide admin support, ensuring all relevant letters are typed and shared with managers prior to sending out.
* Arrange travel and accommodation on occasion for managers and other designated staff members.
* Day‑to‑day line management of the Pathology admin team and admin apprentices.
* Manage Health Roster, ESR, update risk assessments, attend meetings, and manage minutes, prepare HR meeting invites and outcome letters.
* Facilitate good communication with other wards and departments involved in departmental functioning, acting as the first point of contact.
* Ensure clear channels of communication are maintained within the multi‑disciplinary team and that managers and admin teams are kept well informed.
* Manage junior doctor rota: plan new rotations, allocate annual and study leave, and manage the administrative aspects of sickness episodes.
* Manage induction and training of new staff.
* Resource management including ordering supplies and equipment.
* Allocate work to the admin team.
Qualifications
* Advanced typing and transcription of clinical and non‑clinical documents (OCR 3 or equivalent qualification/experience) is essential.
* Experience providing comprehensive secretarial services to senior management teams in a healthcare setting.
