JOB PURPOSE
To collaborate with the Systems Development Manager to enhance Gwella's leisure management software systems (LMS), optimising accessibility and functionality to improve customer service both within the leisure centres and online. To operationally lead and train customer service teams in consistent LMS use, ensuring effective booking and payment processes that support income generation across all sites.
NVQ Level 4 or equivalent experience in Information Technology / Management Information Systems / System Administration.
MAIN DUTIES & RESPONSIBILITIES
System Management and Development
1. To act as day-to-day system administrator for the Gladstone leisure management software, completing and overseeing configuration (e.g. products and subscriptions), resolving operational issues, and liaising with Gladstone on technical queries.
2. To continuously review and optimise the Gladstone system set-up to ensure ease of use, Welsh language compliance, and alignment with business needs.
3. To conduct system audits and contribute to the strategic analysis of current and future leisure management system requirements.
4. To support the adoption and implementation of new leisure management system features, updates, or supplier transitions as part of Gwella's digital transformation.
Team Leadership and Training
5. To supervise four Business Systems Support Officers, managing daily task prioritisation and delegation.
6. To lead leisure management system training and coaching for customer service teams across all leisure centres, both in-person and through user guides.
7. To coordinate company-wide leisure management system training to ensure consistent and effective system use.
Customer Experience and Income Generation
8. To ensure the leisure management system supports high standards of customer service and consistent application at point-of-sale and online.
9. To collaborate with leisure centre managers to develop and implement revenue-generating initiatives utilising the leisure management system.
1. To respond to short-notice configuration requests to support marketing campaigns and pricing strategies.
Process Improvement and Reporting
1. To develop and maintain leisure management system standard operating procedures for both employees and customers.
2. To deliver measurable improvements such as increased automation and paperless processes.
3. To produce regular sales, income, and participation reports using reporting tools.
4. To ensure leisure management system compliance with GDPR and data integrity standards.

1. Gweithredu fel gweinyddwr systemau o ddydd i ddydd ar gyfer meddalwedd rheoli hamdden Gladstone, cwblhau a goruchwylio ffurfweddu (e.e. cynnyrch a thanysgrifiadau), datrys materion gweithredol a thrafod ymholiadau technegol gyda Gladstone.
2. Adolygu a gwella'r system Gladstone yn barhaus i sicrhau ei bod yn hawdd ei defnyddio, yn cydymffurfio â safonau'r Gymraeg ac yn cyd-fynd ag anghenion busnes.
3. Cynnal archwiliadau system a chyfrannu at ddadansoddiad strategol o ofynion system rheoli hamdden cyfredol ac yn y dyfodol.
4. Cefnogi wrth fabwysiadu a gweithredu nodweddion, diweddariadau neu newid cyflenwyr gyda system rheoli hamdden newydd, fel rhan o drawsnewid digidol Gwella.

1. Goruchwylio pedwar Swyddog Cefnogi Systemau Busnes a rheoli blaenoriaethu a dyrannu tasgau dyddiol.
2. Arwain hyfforddiant ar system rheoli hamdden i dimau gwasanaeth i gwsmeriaid ym mhob canolfan hamdden, wyneb yn wyneb a thrwy ganllawiau i ddefnyddwyr.
3. Cydlynu hyfforddiant ledled y cwmni ar y system rheoli hamdden i sicrhau defnydd cyson ac effeithiol o'r system.
