Job overview

An exciting opportunity has arisen on the Endoscopy Unit for the position of Clerical Officer Administrative Support/Waiting lists Clerk.

The successful candidate needs to provide and maintain an efficient and effective administrative service in line with local policies and procedures.

To manage and monitor an Endoscopy waiting list to ensure that tests and procedures are carried out within the specified Government targets and agreed protocols.

Main duties of the job

Generaland Administrativeduties will include:

* Maintain an efficient and effective administrative service
* Routine duties include: answering telephone enquiries, updating the computer database.
* Checking the waiting lists on a daily basis, and checking any new referrals that may come through and adding them on to the IPM lists.
* Booking appointments
* Maintain professional standards in appearance, behaviour and punctuality.

Detailed job description and main responsibilities

To provide and maintain an efficient and effective administrative service.

Routine duties include; answering telephone enquiries, updating computer databases, filing, case note requests and preparation.

Dealing effectively with mail, redirecting where necessary. Prioritise and organise own workload daily.

Suggest changes in practice to local systems and processes to ensure that the service is as efficient and effective as possible.

Undertake reception duties, greeting and registering patients and answering the telephone.

Deal efficiently with all hospital staff and visitors. Maintain professional standards in appearance, behaviour and punctuality.

Assist in training and supervision of new members of staff, whilst carrying out one’s own duties.


Person specification


Experience

* Have demonstrable experience and knowledge of service improvement systems.


Knowledge

* A good working knowledge of computers and software packages/ECDL
* Understanding of a broad range of administrative processes
* Able to demonstrate and understanding of a wide range of local hospitals systems/ processes and policies


Skills

* Good basic numeracy skills.
* Excellent interpersonal skills ability to communicate at all levels
* Should be able to present data and information in a useful and understandable format.


Qualifications

* RSAII or equivalent
