Victim Support Scotland – Empowering People Affected by Crime

Victim Support Scotland (VSS) provides support and information to people affected by crime and campaigns for victim and witness rights. Regardless of whether a crime has been reported, or when it happened, our services are free, confidential, and tailored to individuals’ needs.

Who We Are

VSS is a non‑profit charity that operates in Scotland, working to empower victims, witnesses and their families. Our core philosophy is that victims, witnesses and their families are central to justice, and we are committed to helping them recover and move forward.

Our Vision

People affected by crime – victims, witnesses, and their families – are treated with dignity and respect and are at the heart of the justice system in Scotland. We put victims and witnesses at the heart of everything we do so they are heard, have improved health and well‑being, feel safer, more secure, and informed, and that we are an effective organisation that makes a lasting difference.

Our Mission

To ensure those affected by crime receive high quality support that helps them recover from their experiences. We achieve this by adhering to our organisational values and delivering caring, intentional, ambitious, and persevering service.

Organisational Values

* Victims Are at the Heart of Everything We Do
* We Care
* We Work with Intent
* We Are Ambitious
* We Persevere

Everything we do is driven by our dedication to supporting and empowering victims and witnesses, so they have improved health and well‑being, feel safer, more secure, and informed. We are an effective organisation that makes a lasting difference to the people we support, and our values are reflected in the behaviours expected of all staff and volunteers.

VSS is committed to the safeguarding and welfare of all of our service users and has a thorough and rigorous recruitment and selection process including PVG scheme checks in place to ensure this commitment is met.

Role Overview

You will report directly to the Office Manager within the Finance & Estates Team and you will be responsible for providing essential administrative and operational support to ensure the smooth running of the Emergency Assistance Fund. The role will focus on supporting the EAF Coordinator and Locality Managers to ensure the timely purchase and delivery of items and services to applicants. You will support the full process and administration of the fund and undertake any other general office and administrative duties required.

* Provide administrative and operational support to the Emergency Assistance Fund.
* Work with the EAF Coordinator and Locality Managers to procure and deliver items and services to applicants.
* Take the lead on procurement: ordering items, coordinating delivery and installation when needed.
* Maintain accurate records, ensure timely credit card returns, monitor stock levels, and arrange replenishment.
* Support the creation and ongoing development of processes, procedures and documentation for the Fund.
* Ensure compliance with all relevant policies, including GDPR, and accurately log all transactions and communications for audit and reporting purposes.
* Provide facilities management support: oversee office Health & Safety processes, organise repairs, act as the main point of contact for photocopier contracts and manage the recycling contract to ensure efficient collection.
* Deliver all aspects of reception facilities: answer incoming calls and coordinate room bookings and catering for meetings and events.

In addition, you will provide facilities management support, including overseeing office Health & Safety processes and procedures, organising repairs, acting as the main point of contact for photocopier contracts, and managing the recycling contract to ensure collections are prepared and completed efficiently.
