Victim Support Scotland (VSS) provides support and information to people affected by crime and campaigns for victim and witness rights. Regardless of whether a crime has been reported, or when it happened, our services are free, confidential, and tailored to individuals’ needs.

Role Overview
You will report directly to the Office Manager within the Finance & Estates Team and you will be responsible for providing essential administrative and operational support to ensure the smooth running of the Emergency Assistance Fund. The role will focus on supporting the EAF Coordinator and Locality Managers to ensure the timely purchase and delivery of items and services to applicants. You will support the full process and administration of the fund and undertake any other general office and administrative duties required.
Key Responsibilities
* Provide administrative and operational support to the Emergency Assistance Fund.
* Work with the EAF Coordinator and Locality Managers to procure and deliver items and services to applicants.
* Take the lead on procurement: ordering items, coordinating delivery and installation when needed.
* Maintain accurate records, ensure timely credit card returns, monitor stock levels, and arrange replenishment.
* Support the creation and ongoing development of processes, procedures and documentation for the Fund.
* Ensure compliance with all relevant policies, including GDPR, and accurately log all transactions and communications for audit and reporting purposes.
* Provide facilities management support: oversee office Health & Safety processes, organise repairs, act as the main point of contact for photocopier contracts and manage the recycling contract to ensure efficient collection.
* Deliver all aspects of reception facilities: answer incoming calls and coordinate room bookings and catering for meetings and events.
In addition, you will provide facilities management support, including overseeing office Health & Safety processes and procedures, organising repairs, acting as the main point of contact for photocopier contracts, and managing the recycling contract to ensure collections are prepared and completed efficiently.
