The Team: We are looking for a highly organized and proactive individual to provide executive support to our Head of Solutions and EMEA Client Solutions team. The ideal candidate is exceptionally organized, an effective communicator, and possesses a keen eye for detail. We seek a collaborative "people person" who thrives in dynamic, fast-paced environments and can work independently with efficiency and precision Responsibilities and Impact: Responsible for managing schedules, coordinating meetings, and handling inperson tasks and communications Coordinate domestic and international travel arrangements, including flight/ground transportation, with an in-house travel agent, and manage visa applications and any travel-related issues Perform ad-hoc tasks and projects as requested, such as car service/hotel bookings, sending gifts, and making dinner reservations, etc. Own monthly expense reporting, ensuring accurate and timely submission of expense reports and documentation. Prepare documents and presentations for meetings, maintain and file documents, and coordinate/produce sensitive reports and analysis Demonstrate strong problem-solving skills by anticipating challenges and addressing them proactively Assisting and Supporting the smooth running of the EMEA Sales and Investor Relations team: Coordinate internal team meetings including preparing agendas and gatherings questions in advance Add meetings & client correspondence into CRM system (Backstop) Coordinate Team travel Assist in planning and executing events Extract ad hoc reports from CRM system (Backstop) Prepare ad hoc submissions to Red Oak (Capstone’s compliance workflow tool) e.g. for NDAs, IEQs and compliance reviews for marketing materials Help to send mass mailings via Capstone’s email service (Profund) Provide miscellaneous assistance with expense and finance related topics Handle sensitive information with the utmost discretion and always maintain confidentiality Benefits and Compensation Information: Our team is our most important asset and investment.
