Belfast - Part-Time Operations Administrator Cityside Leisure and Retail Park

The main function of this role is to provide management support in the busy retail and leisure environment of Cityside Retail Park.
Cityside Leisure and Retail Park extends to 309,102 sq ft and is NI’s largest leisure and retail development located on the edge of Belfast City Centre. The property comprises leisure accommodation totalling 141,336 sq ft and retail accommodation totalling 128,980 sq ft.
The successful candidate will assist in the day-to-day operation of the scheme as a vital part of the centre management team and be responsible for the implementation of a diverse series of duties.
This is a part-time 24 hours per week position.
Key Responsibilities
* Assist management in the day-to-day coordination and management of the centre’s operational activities
* Handle administration duties and provide office support for the centre manager, client, and visitors
* Assist with supplier approval, contractor management, issuing permits to work, reviewing RAMS, and similar duties
* Support the Centre Manager and managing agent in proactive reporting
* Coordinate contracted cleaning schedules to maintain high standards
* Liaise with security to ensure adequate coverage
* Coordinate between customers, tenants, and managing agents for smooth operations
* Assist with Health & Safety and Fire Safety compliance checks and resolve risks
* Ensure compliance with security, health, safety, fire, and welfare policies and legislation
* Promote safety habits and report safety issues and incidents
* Attend and complete fire warden training and act as tenants' point of contact during evacuations
* Coordinate activities on the mall floor, including kiosk placement and invoicing
* Ensure all contract documentation is up to date and compliant
* Advise on energy efficiency and cost savings
* Monitor and update social media, respond to queries, and promote tenant material
* Engage with tenants on-site, including store visits and content creation for social media
* Utilize Microsoft Office, Canva, video editing apps, and Photoshop for digital activities
* Perform any other reasonable duties as required
Skills, Knowledge, and Experience
* Experience in administration, PA, or project management roles
* Proactive with the ability to work independently and as part of a team
* Excellent customer care, communication, and telephone skills
* Strong organizational and multi-tasking skills
* Proficient in Microsoft Word, Excel, and PowerPoint
* Attention to detail and accuracy
* Knowledge of social media trends and content creation
* Experience with video content, photography, and editing apps like Canva and Photoshop
* Willingness to adapt and suggest improvements
