What you’ll do As our new Part time Office Coordinator for our new London office, you’ll be the on-site brand ambassador for Mark Anthony UK (MAB UK), owning the day-to-day running of our London office and creating a welcoming, high-energy environment. You’ll keep operations smooth (facilities, vendors, supplies, mail, access), support leaders and teams with meetings, events and admin, and partner with People Operations and IT to deliver great onboarding and engagement in a fast-paced, hands-on setting. This role is part time 3 days per week, Tuesday to Thursday. There may be weeks where you may need to adjust working days, for example, high profile visits or events. Additional key responsibilities include: Own daily office operations and front-of-house experience so every visitor and employee feels the MAB UK “wow” factor. Manage mail, shipping/receiving and couriers; maintain office, kitchen and product supplies within budget and service standards. Own vendor relationships (suppliers, cleaners, security, catering) including purchase control, service levels and cost containment. Coordinate meetings and events end-to-end (rooms, schedules, catering, materials) and support exec off-sites, samples and presentation packs. Act as facilities liaison with the landlord; coordinate repairs, HVAC, maintenance and contractors; manage floor plans, access cards and car-park fobs. Drive Health & Safety compliance: active OHS committee member, monthly inspections, cleanliness standards and emergency procedure upkeep. Partner with People Ops and IT on engagement and onboarding (events calendar, social activities, starter packs, comms via noticeboards and MS Teams). Track office budgets and expenses; maintain inventories, process invoices on time and deliver to plan. What you’ll bring Bachelor’s degree or related experience Office or facilities management experience in a fast-paced, multi-stakeholder environment. Strong stakeholder management and customer service skills; able to build processes to deliver great internal experiences. Advanced Microsoft Office skills (Outlook, Excel, PowerPoint, Teams) and solid vendor/contract administration capability. Proven time-management and prioritization under pressure; exceptional attention to detail and follow-through. First Aid/Fire Warden/Manual Handling certifications are advantageous. Sophisticated organization skills including the ability to prioritize and manage multiple projects.
