Overview
Join an exciting growing service at Oakhill STC focused on improving young people's well-being. As an administrator, you will be providing a range of administrative support to the healthcare department.
Responsibilities
* Support the healthcare department to deliver a high-quality experience, for example making patient appointments, ensuring the clinic list is correct, and advising patients of their appointment
* Process referrals to local hospitals or services and follow up to ensure the referral has been received and is being processed
* Update S1 patient records (scanning documents to the correct record and ensuring they are appropriately coded). Training provided
* Update and maintain databases (e.g., optician, dentist, admissions)
* Arrange meetings, invite attendees, type up the agenda, prepare documents, and take minutes / actions (with training)
* Provide day-to-day administrative support to the practice manager, head of healthcare, and clinical leads as required (e.g., photocopying, booking rooms)
* Archive, send and receive written notes, where necessary
* Prepare materials for nursing staff (e.g., shift planners, tick sheets)
* Place orders with suppliers to maintain stock levels
* Answer the phone politely and ensure messages or actions are completed
* Support visitors and contractors to the healthcare department, including booking gate passes and escorting visitors as required
Qualifications/Requirements
* Experience with updating clinical systems (Systm1) or similar, with training provided
* Strong administrative and organizational skills; ability to manage calendars, meetings, and documentation
