We are looking for a Deputy Executive Assistant to provide secretarial and administrative support to the Senior Leadership Team and Trustees, including meeting organisation, minute taking, reception management, and project support. The role also deputises for the Executive Assistant in their absence.
Location: Onsite at Rainbows Hospice in Loughborough.
Hours: 37.5 hours per week, Monday to Friday 9:00am – 5:00pm (occasional evening or weekend work may be required).
Contract: Permanent.
About The Role
This is a varied and rewarding role where you’ll lead on delivering an exceptional support experience, ensuring a high standard of delivery and service that is reflective of Rainbows’ values.
Key Responsibilities
* Oversee, organise, and prepare for meetings, ensuring that papers are collated and distributed in a timely manner.
* Coordinate with Supporter Relations to arrange meetings with key supporters and communicate with senior staff and Trustees about events and visits.
* Provide professional minute taking for the Board, Leadership Team, Senior Leadership Team, and other internal meetings.
* Arrange meetings, both on‑site and off‑site, for the Senior Leadership Team.
* Support the Executive Assistant with meeting coverage to ensure seamless service.
* Manage the reception team, including hospice clerk duties, rostering, training, and personal development.
* Take ownership of reception processes and procedures, ensuring compliance and timely updates.
* Contribute to organisation‑wide projects and initiatives.
Qualifications & Requirements
* Well organised and able to manage multiple priorities.
* Excellent attention to detail.
* Previous experience working at a senior management level.
* Works well under pressure.
* Strong communication and stakeholder management skills, both internally and externally.
* Ability to manage multiple busy diaries.
* Board and senior management level minute taking, ensuring clarity, accuracy, and confidentiality.
* Standard DBS check and comprehensive pre‑employment screening, including employment referencing covering the past five years.
