Responsibilities
* Maintain ownership of the HRIS, ensuring all employee data is accurate, compliant and up to date, and proactively identifying discrepancies or opportunities to improve data management processes.
* Coordinate the full employee lifecycle, including onboarding, contractual changes, promotions, transfers and leavers, ensuring all documentation, system updates and communications are completed accurately and in a timely manner.
* Prepare and issue employment documentation, including contracts of employment, variation letters and other HR correspondence in line with company policy and employment legislation.
* Act as the first point of contact for day-to-day People & Culture queries, providing guidance on policy and process where appropriate and escalating more complex matters to the People & Culture Partner or Manager.
* Manage the People & Culture inbox, triaging requests, coordinating responses and ensuring queries are handled efficiently and professionally.
* Coordinate sickness absence processes, maintaining accurate records, conducting welfare check-ins where appropriate, tracking absence triggers and supporting managers with return-to-work documentation and follow-up actions.
* Support the management of long-term absence cases from an operational perspective, ensuring documentation, timelines and communications are maintained and escalating concerns where necessary.
* Coordinate probation review processes, monitoring timelines, issuing reminders to managers and ensuring documentation is completed and recorded.
* Support recruitment and onboarding activity, coordinating interviews, preparing offer documentation and ensuring a structured onboarding experience for new employees.
* Ensure pre-employment checks are completed, including right-to-work verification and other compliance requirements, maintaining accurate and auditable records.
* Provide coordination support during organisational change activities, including TUPE transfers, restructures and integration processes.
* Prepare HR reports and workforce data, supporting the People & Culture team with insights and information required for decision-making.
* Provide administrative and coordination support for People & Culture meetings, including preparing agendas, taking meeting minutes where required and tracking follow-up actions.
* Support managers with the practical application of People & Culture policies and procedures, providing guidance on processes such as absence management, probation reviews and employee changes, and ensuring consistency across the business.
* Coordinate People & Culture initiatives and programmes, such as engagement activities, training rollouts, appraisal cycles and policy updates, helping ensure these are implemented effectively across the organisation.
* Support the delivery of People & Culture projects and initiatives, taking ownership of specific workstreams or actions where required.
* Identify opportunities to improve processes, systems and ways of working, supporting the continuous development of the People & Culture function.
* Maintain strict confidentiality and ensure all employee information is handled in accordance with GDPR and company policies.
