Job Overview
1. Act as a Finance support to the Finance Admin Lead ensuring accuracy of the P&L and effective accurate delivery of project quotations and billing. Ensure all month end reporting is delivered in an accurate and timely manner to the above site Finance Management team. Ensure compliance and accuracy against policies enabling % audit readiness To mentor (where applicable) and motivate the business admin team to carry out administration duties in a compliant and timely manner. To be responsible for managing your work, training, development, and safety of all staff To assist and support the Mitie service lines by performing a range of day-to-day administration duties Responsible for all reactive work order requests received to the helpdesk to ensure they are completed and closed within the contractual KPI's and SLA's Customer communication – keeping the customer informed of progress on their request. Working with the technical co-ordinator and technical supervisor to ensure engineer job allocations are appropriate
Main Duties
2. Ensure accurate P&L reporting
3. Monitoring spend against client budget & glide path targets
4. Raising and gaining approval for chargeable works
5. Liaise with Operation Team regarding the status of purchase orders, projects, and quotes to ensure timely and accurate allocation of costs
6. Completion of log for project, Ad Hoc, core & PxV works
7. Raising, Goods Receipting & accurate allocation of orders in SAP / Coupa
8. Reconsolidate Technical, Scientific & Soft Services accounts and ensure all month end documentation is returned to the central finance team on time
9. To take notes at disciplinary, grievance and investigation meetings
10. To attend and actively participate in comm cells, governance, meetings, and training courses as required relevant to your role
11. To manage all near miss & observation uploads into EcoOnline, report accordingly to site lead & the onsite client
12. Take calls from customers in relation to reactive jobs and general enquiries and log onto Maximo ensuring correct and sufficient information is obtained from the customer to allow the jobs to be completed in a timely manner
13. Minimise the number of duplicate jobs raised through regular reviews of open tickets
14. Proactively chase and close jobs in line with the SLAs using daily reports and the Mozaic reporting platform
15. Have a good understanding of the site operations and site locations
16. Ensure the delivery of the services within the Mitie team, ensuring customer requirements are met and their needs anticipated at all times
17. To undertake any reasonable additional request by the Site Lead to ensure that the overall service standard is maintained.
What we are looking for
18. Experience of working in a Helpdesk environment
19. Previous Finance experience - Experience in SAP / Coupa highly desirable
20. Ability to challenge and influence in order to achieve best practice
21. Methodical and process driven with excellent attention to detail
22. Possesses an intermediate knowledge level of all Microsoft office packages. Fully competent in the use of PCs and other types of technology
23. Has developed excellent written, verbal communication and negotiation skills to support them in their role
24. Can effectively plan and manage own workloads, however, understands when to ask for support when needed
25. A team player with the ability to lead by example through operation excellence, strong interpersonal skills, and the ability to interact at all levels
26. Represents Mitie and the client always in a professional, courteous, and confident manner
