We have an exciting opportunity for an experienced and dedicated Office Manager to join our fast-paced organisation.
In this critical role, youll make a real impact on the day-to-day running of the London Office.
Developing fantastic internal and external working relationships is essential for this role alongside the ability to prioritise and manage a varied workload that includes undertaking tasks and bespoke projects for our Operational teams.
Requiring a blend of both administrative and interpersonal skills, youll help us maintain a positive, yet professional working environment for our London Office.
In addition, with Portlands recent move into the Bakers Row building, you will also play a key role in supporting the management of the premises, including coordination with tenants, contractors, and service providers to ensure the building operates smoothly.
Main Duties:
* Managing administration tasks to support the smooth running of the London Office
* Providing support to the Leadership Team including diary management and minute taking
* Act as the primary point of contact for tenant companies within the Bakers Row building, ensuring smooth communication and coordination
* Oversee building services for tenants (e.g. cleaning, security, maintenance, access, compliance), escalating issues to the Head of Operations as required
* Assisting with research and implementation of bespoke projects
* Management of Office IT & Telecoms to support the IT & Utilities Manager, including liaising with third party providers
* Oversight of office health and safety, and support with Apartment Health & Safety activities
* Acting as first point of contact for the office including welcoming visitors, preparing meeting rooms, and collating documents as required
Requirements:
* Previous administration experience in a busy office environment
* Excellent communication and people skills
* Organised with strong time management and prioritisation skills
* Team player
* Self-motivated, ambitious, and enthusiastic
* Strong IT skills: Internet Explorer and Microsoft Office (training will be provided for our bespoke systems)
* Experience of setting up IT for team members
* Accuracy and attention to detail
