The Role

Do you have at least 3 years’ experience in administration or operations, with a proven ability to keep teams organised and projects on track? Are you a confident and proactive leader with strong time management skills and attention to detail? If so, we have an exciting opportunity for you.

As our Practice & Operations Manager, you will play a central role in the smooth running of our day-to-day business. From coordinating project delivery and client onboarding to overseeing internal processes and supporting our wider team.

Key Responsibilities

* Manage the full lifecycle of Purchase Orders (POs) and quotes, ensuring accuracy against agreements and proactive progress tracking.
* Manage client onboarding and relationships, including documentation, proactive communication, and project scheduling.
* Facilitate smooth project delivery through internal pre-start meeting coordination and final report checks.
* Support associate management, including regular check-ins, performance monitoring, work scheduling and payment administration.
* Manage and oversee the Business Support Manager, including workload delegation and performance management.
* Oversee competency reviews, maintaining records and ensuring timely completion.
* Manage and maintain our customer relationship management (CRM) system, ensuring data accuracy and efficient workflows.
* Administer compliance functions, including Non-Conformity Records (NCR) and complaint logging, GDPR adherence, and support for ISO audits and wider certification initiatives.
* Lead and coordinate Corporate Social Responsibility (CSR) initiatives, aligning with iON company values.
* Provide broad administrative support, including report generation, onboarding documentation, file organisation, customer feedback management, annual leave tracking and overseeing the business administration diary.

The Person

* Proven experience with 3+ years in a similar administrative, project support, or office management role.
* Strong organisational, time-management, and prioritisation skills with excellent attention to detail and accuracy.
* Leadership experience with a proven track record in managing and developing teams, including delegation, feedback, and professional growth support.
* Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
* Experience working with CRM or project management software.
* Experience in supporting client onboarding processes.
* Strong written and verbal communication skills, with the ability to interact professionally with clients and team members.
* Experience with data management and an understanding of GDPR principles.
* Experience in coordinating training and development activities is a plus.
* Proactive and self-motivated with a can-do attitude and awareness of environmental and sustainability practices.
