Overview
Montcalm Collection is seeking a detail-oriented and organized Accounts Payable Assistant to join our finance team in the hospitality industry. This role offers an exciting opportunity for a self-motivated individual with a strong accounting background who thrives in a fast-paced environment. Responsibilities include generating bills, collecting revenue, and assisting the finance manager in financial activities.
Key Responsibilities
1. Ensure timely and accurate processing of supplier invoices and reconciliation of statements.
2. Perform the three-way match process—comparing invoices with purchase orders and receiving records.
3. Verify commission invoices in the PMS system for sales value and obtain necessary authorizations.
4. Process foreign currency payments in compliance with policies and regulations.
5. Manage petty cash claims, ensuring accurate records.
6. Prepare and submit payment runs and month-end accruals for hotels.
7. Provide training on accounting processes and procedures.
8. Handle ad-hoc duties and conduct weekly supplier ageing reviews.
9. Maintain documentation for high-value invoices.
10. Handle financial information confidentially and provide professional customer service.
11. Proficiency in accounting software (e.g., Sage Intact) and Microsoft Office, especially Excel.
12. Strong communication skills and ability to work independently and collaboratively.

Qualifications and Experience
1. Bachelor’s degree in finance, business administration, or related field.
2. Prior experience as an accounts assistant preferred.
3. Strong organizational and time management skills.
4. Excellent communication and interpersonal skills.
5. Ability to work under pressure and meet deadlines.
6. Attention to detail and accuracy.
7. Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
Occasional work outside regular hours may be required.
