Job overview

An exciting opportunity has arisen within the Trauma and Orthopaedics Department for a permanent Medical Secretary to join our team. The role will be to provide a comprehensive Medical Secretary and PA service to Consultants within the speciality, including coordinating meetings, ensuring compliance with CCG requirements, producing clinic letters, other documents and dealing with patient and GP queries and concerns in a sympathetic and constructive manner. To use and manipulate data for recording purpose.


Main duties of the job

Carry out a range of complex administrative tasks specific to work area.

Provide comprehensive support to senior team including diary management, coordinating and arranging meetings, taking minutes.

Deal with enquiries face to face, via telephone and email supporting junior staff with more difficult situation.

Carry out duties including audio typing, using hospital Epic system and other databases, distributing post and other administrative duties.

Check and update patient information on the Trust’s medical records system (EPIC).

Cover other positions within the work area during absence.

Ensure new referrals are time and date stamped.

Be accountable for ensuring and monitoring work produced is of the quality and quantity required ensuring expected Trust and department standards and deadlines are met including Clinic letter turnaround times.

Person specification


Qualifications

* Educated to A level or NVQ level 3 Customer Service / Business Admin / ITQ or equivalent
* Typing qualification or equivalent experience
* Specific technical / professional qualification
* Secretary qualification or equivalent


Experience

* Experience of working in a busy clerical / office environment or Reception service
* Secretarial and/or administrative experience including minute taking
* Prioritising, planning and organising own tasks
* Working within guidelines
* Experience of dealing with difficult situations and confrontations
* Data entry experience and documentation
* Experience of IT packages – Microsoft office
* Experience of producing documents to a high standard
* Experience of working in NHS
* Experience of working with medical records
* Recruitment and Selection of staff
* Experience of supervising staff


Knowledge

* Understanding of confidentiality and data protection
* Sound knowledge of office procedures
* Understanding of customer service
* Good working knowledge of Microsoft Office packages
