The Team This role sits within the Global GxP Quality function, supporting Quality leadership and the wider Quality community across Bard and MITO. The team is responsible for ensuring compliance with global GxP standards while driving continuous improvement across Quality processes, governance, and operations. You will partner closely with Quality leaders, cross‑functional teams, and Finance to ensure smooth administrative operations and effective coordination across the function. Job Purpose The purpose of this role is to provide comprehensive administrative and operational support to the Global GxP Quality organisation. This includes supporting day‑to‑day Quality operations, document management, leadership support, meeting coordination, and financial administration. The role is critical in enabling the Quality leadership team to operate efficiently and maintain strong governance, communication, and compliance standards. Responsibilities Administrative support to GxP Quality Provide full administrative support and assistance to the GxP Quality department. Support document management activities including filing, printing, scanning, uploading, archiving, and retrieval across Bard and MITO systems. Assist with the maintenance and organisation of Quality documentation in line with GxP requirements and internal procedures. Leadership and team support Provide comprehensive administrative support to the Vice President of Quality and the broader Quality leadership team. Manage calendar scheduling and meeting coordination for the VP, Quality. Provide travel booking and expense support for Quality Leadership Team (QLT) members. Act as administrator for QLT meetings, including managing logistics, meeting room bookings, preparation of agendas, capturing meeting minutes, and tracking actions. Support the coordination and delivery of Quality Town Halls and other large‑scale Quality meetings. Coordinate and consolidate presentation slides for key forums such as management reviews, monthly safety compliance meetings, and other Quality governance meetings. Maintain up‑to‑date Quality organisational charts and email distribution lists. Support the maintenance of the Quality MundiConnect page, ensuring information is current and accessible. Financial and supplier coordination Partner with Finance to raise purchase orders for the Quality function. Support resolution of Finance‑related queries including invoices and supplier queries. Assist with onboarding of new suppliers for Bard and MITO, ensuring all administrative and system requirements are completed accurately and on time. What you’ll bring Proven experience in an administrative or coordination role, ideally within a regulated or GxP environment. Strong organisational skills with the ability to manage multiple priorities and deadlines. Experience supporting senior leaders with calendar management, travel coordination, and meeting administration. Confidence working with document management systems and handling confidential information. Strong attention to detail and a structured, proactive approach to work. Excellent communication and stakeholder‑management skills. Comfortable working cross‑functionally, including partnering with Finance and external suppliers. Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint) and collaboration platforms. A commitment to quality, compliance, and continuous improvement.
