We have an amazing opportunity for an amazing Office Manager & Executive Assistant to join the Lucy & Yak Team! The Office Manager & Executive Assistant supports our Managing Director with day-to-day organisation, diary and inbox management, and admin tasks. They are also responsible for managing the Brighton Office, making sure it’s a safe, welcoming and well-run space for the team. You’ll juggle priorities, keep things running smoothly behind the scenes, and help create a great working environment for everyone at Lucy & Yak. What you'll be doing Executive Assistant Support Managing diaries and inboxes to help keep everything running smoothly Booking travel, arranging meetings and processing expenses Preparing agendas, presentations or notes when needed Helping with the occasional personal task Keeping things confidential and handling sensitive information with care Office Management Making sure the office is safe, secure and welcoming Working closely with landlords, property teams and contractors for maintenance and repairs Managing supplies and equipment to keep the team supported day to day Supporting team members to access what they need, being the go-to person for any questions or queries Health and Safety Taking the lead on Health & Safety for our Brighton space Keeping up-to-date with risk assessments and emergency plans Administration Managing the Brighton office budget, tracking invoices, expenses and keeping an eye on costs Processing expense reports for the Managing Director, and wider leadership team as required Helping coordinate travel across the business when needed Organising meetings and events, including organising tech setup and catering Receiving post and packages and making sure things get to where they need to be Supporting on ad hoc projects where needed What you need Significant experience of working in an EA/PA role, supporting at C-level Proven office management/facilities management experience Working knowledge of Health and Safety compliance in an office environment Proficiency in Microsoft 365 or Google Workspace, and tools such as expenses and travel booking platforms Exceptional people skills – communication, interpersonal and relationship building Ability to remain calm under pressure, manage shifting priorities and handle confidential matters discreetly The details Salary £32 -£35k per annum, based on experience Based in our Brighton Office Permanent role 30 hours/4 day per week with full time salary See our careers homepage for a full list of our perks and benefits! https://careers.lucyandyak.com/ Lucy and Yak has ambitious growth plans and we’re building a team to help enable and accelerate that growth.
