We have an exciting opportunity for an Administrator to join our team in Wirral.
This role will involve working in a small, friendly team to support the end-to-end service delivery requirements for our patients. This includes speedy and accurate response to referral and appointment management, order processing, support of clinicians within the service, administration duties, ensuring accuracy of information and maintenance of department systems and processes.
Key Responsibilities
* Act as the positive first point of contact for all incoming and outgoing communications from Opcare, to patients, interpreters, healthcare professionals and colleagues.
* Process and monitor patient referrals in line with Referral-to-Treatment pathways, close referrals and elevate issues to clinicians and/or management as required.
* Make, change, and monitor appointments in line with priority and KPIs; escalat capacity or breach risks to the appropriate Team Leader / Manager.
* Handle patient and confidential information in line with Data Security policies.
* Ensure compliance with ISO and internal quality systems.
* Identify and elevate issues, propose solutions, and support efficient departmental operations.
* Support the team in delivering a high-quality service to patients.
* Work collaboratively with the wider team to communicate changes and resolve problems.
* Support external clinic administration (e.g. schools) including referrals, queries, and appointments.
* Undertake stores-related administrative tasks including booking goods in/out, processing orders, managing shipping (TNT, Royal Mail, UPS), handling slow-moving stock transfers and processing returns to suppliers.
* Complete weekly stock count processes, ensuring clear labelling and housekeeping of stores areas, and appropriate levels of PPE stock are maintained.
Skills and Experience
* Excellent organisational and prioritisation skills, with the ability to multitask and work to tight deadlines.
* Strong written and verbal communication skills, including a professional telephone manner and effective people skills.
* High attention to detail and accuracy in all tasks.
* Computer literate across general systems and willing to learn new in-house systems.
* Able to use own initiative while also being a collaborative and supportive team player.
* Positive, proactive, and helpful attitude at all times.
* Comfortable handling confidential information and adhering to data security protocols.
* Driving License.
* Experience in a healthcare environment/service.
Qualifications
* Proven track record in administration/warehouse or stores administration.
* Microsoft 365.
* Order processing and data entry using IT systems.
