Overview
Do you want to take on responsibility and fulfil customer wishes? As the Depot Manager at SIXT Van & Truck in Yeovil, you’ll have overall responsibility for the day-to-day running of the Hire Desk and Transport services. You’ll manage, motivate and coach a team of Hire & Sales Co-ordinators, Vehicle Valeters, Van Liners, Washer/Checkers and Drivers, ensuring their health and safety is provided for. You’ll take ownership of all required reports ensuring their accurate and timely completion. You’ll maintain a strong sales focus and be able to deal effectively with customers at all levels to pursue increased sales revenue and resolve any queries.
Please note this is a full-time role, with an average working week of 45 hours, and a requirement to work 1 in every 2 Saturday mornings.
Key Responsibilities
* Staff
o Allocating and monitoring the workload of the hire desk team and drivers on a daily basis.
o Monitor efficiency of hire desk staff and drivers to ensure customer service levels are maintained.
o Review and establish the training needs of staff and, where appropriate, provide one-to-one coaching or consult with the Multi-Site Manager about head office or external training.
o Always ensure adequate cover by authorising holiday requests and monitoring weekend attendance.
o Involvement with the recruitment and induction of new team members.
o Take ownership of staff absence, movements, discipline and training needs, and inform management appropriately.
o Ensure all staff wear appropriate corporate clothing.
* Systems & Procedures
o Achieve add-on sales budget by ensuring that HSCs are proactively selling consumables.
o Stock control of consumables and re-sale items and re-ordering when necessary.
o Monitor processing of on-hires, off-hires and exchanges on SVAT’s computer system and using PDAs where possible.
o Identification and resolution of queries through monitoring and analysis of paperwork procedures.
o Ensure manual paperwork is kept to a minimum.
o Adapt to changes in systems and criteria as required and be proactive in looking after DVR and SVAT interests and customer business.
* Reporting
o Review all relevant customer reports and take action where appropriate.
o Report to the Workshop Manager on vehicles that are unavailable for hire.
o Report errors on rates to HQ staff and ensure rectification.
o Review Insurance report.
o Daily Yard check.
o Review monthly credit note and take action where appropriate.
o Review and action monthly live hire reports.
* Health & Safety
o Ensure the company’s health & safety policy and procedures are adhered to in relation to the running of the hire desk and transport services.
o Ensure staff are supplied with and wear appropriate PPE.
o Ensure the cleanliness and tidiness of the hire office and vehicles to minimise the risk of accidents.
o Ensure all accidents are recorded and reported in accordance with company procedures.
o Ensure staff are working in accordance with the company’s H&S policy, procedures and safe systems of work.
o Bring any matters of concern in relation to H&S to the immediate attention of the relevant department.
* General
o Ensure all company procedures in relation to the hire desk and transport are always adhered to.
o Attend weekly meetings with Multi-site Manager.
o Adopt a hands-on role during holiday and absence periods.
o Perform any other duties as may be required by the Company, which are deemed as common practice.
