Full Time, 6 Month Fixed Term Contract

Urban Planters has been bringing homes and workplaces to life with plants since 1965. Over that time, we have evolved and grown alongside the many changes in the landscaping industry, building up a wealth of expertise along the way. We have 2,200 customers (from large National "Key Accounts" to smaller local accounts).

Location: Dudley or Rooksbridge


Responsibilities

* Respond to all internal and external customer communication received in the invoicing inbox in full within 48 hours, with a complete, professional and accurate response.
* Review and action all emails received in the accounts inbox within 24 hours by uploading all correct invoices to the relevant customer portals (amending work order or purchase order information as required to ensure prompt payment) or forwarding email to the correct recipient.
* Chase credit note approval on ICABs system by assigned approvers, to help facilitate prompt resolution to customer queries.
* Review all contracts that have suspended billing for any reason except PO Expired and see if the invoicing can be released.
* Process any necessary manual billing, including pro‑forma invoice requests received in the pro‑forma inbox.
* Update commission spreadsheets with invoice numbers to enable Credit Control to check if payment has been received.
* Produce/update ad hoc reports as needed for specific customers.
* Review daily reports received detailing invoices and credits sent/not sent and send any unsent invoices manually by email.
* Update invoice/credit sent spreadsheet to maintain an accurate record of where invoices and credits have been sent.
* When required, respond and/or process all internal and external customer communication received in the po inbox to maximise unsuspended contracts.
* When required, chase purchase orders from customers where PO are due to expire or have expired to enable compliant invoices to be issued to NO PO NO PAY customers.


Requirements

* Attention to detail is essential to challenge and verify numbers.
* Experience of working in finance essential, and desirable to have experience of invoicing.
* Strong IT skills and confidence with Excel.
* Flexible and able to operate in a continually changing environment at a high level of workload.
