Job responsibilities, main duties and objectives The purpose of Business Systems Coordinator is a time‑limited role created to support the transition from the current workflow and work management systems to a new business system within the Electrical Networks & Infrastructure function. The role is focused on ensuring an organised, controlled, accurate and well-governed migration, including data entry, asset-level data validation, and ingestion of historic and live operational data into the new system. The post holder will support the business through system setup, migration, user adoption, and stabilisation, ensuring the new platform is ready for ongoing operational use at the end of the six‑month period. This is a delivery-focused role working closely with operations, engineering, commercial and system owners. Systems Transition & Migration· Support the migration from the existing workflow / work management system to a new platform within an agreed programme timeline.· Assist with system setup and configuration, including workflows, work types, asset structures and data fields, in line with business requirements.· Support the migration and ingestion of historic and live data, including inspection records, maintenance histories, remedial works, and asset registers.· Validate data accuracy, completeness and structure prior to and following migration.Data & Asset Management· Maintain and manage asset-level data within the new system, ensuring records are accurate, structured and fit for operational use.· Undertake detailed data entry, cleansing and reconciliation activities to support a clean system go‑live.· Work with operational and engineering teams to clarify asset hierarchies, naming conventions and data standards.· Identify and resolve data quality issues, gaps or inconsistencies.Operational & User Support· Act as a key point of coordination between system owners, operational teams and external providers (where applicable).· Support operational users during transition, including helping teams understand new workflows and ways of working.· Assist with system testing, issue logging, and resolution during the transition period.· Support the development of simple user guidance, process notes or reference materials where required.Reporting & Governance· Support reporting on migration progress, data completion and readiness for go‑live.· Ensure system records support contract delivery, audit requirements and management reporting.· Escalate risks, data issues or delays that may impact successful transition.General· Undertake any other reasonable duties aligned to delivering a successful system transition within the fixed‑term period. Person Specification -Supportive team player with the ability to positively interact with both technical and commercially orientated staff, possibly outside own area of expertise. -Strong organisational and work management skills. -Excellent communication skills coupled with the ability to engage with staff at all levels in the organisation. -Versatile, adaptable, willing to learn and impart skills on to others. -Be able to demonstrate impeccable ethical and moral behaviour, coupled with unquestionable integrity and character. Qualifications and experience -Excellent knowledge of Microsoft Office, Outlook, Word, Excel. -Excellent written, verbal and presentation skills. -Self-motivated, enthusiastic and able to motivate staff to meet tight deadlines. · Excellent communication skills for internal stakeholder interaction and coordination. · Strong organisational skills · Experience with workflow management systems (EAP, ERP, EAM), maintenance planning tools, or ticketing platforms. · Excellent attention to detail and ability to work accurately with large volumes of data.
