Artistic Director and Chief Executive at An Tobar and Mull Theatre

AnTobar andMull Theatre (AT&MT) – a small, vibrant arts charity on the Isle of Mull – is seeking a part‑timeInterim Finance Manager (Remote or Hybrid)on a contract‑for‑services basis. The post (approx.0.5FTE) will provide comprehensive financial management and bookkeeping during a 6‑to‑12‑month interim period. A handover needs to take place by25August2025, so we are looking for someone to start as soon as possible.

Contract and Reporting

* Contract for services (outsourced provision) on a part‑time basis.
* Reports to the Artistic Director & Chief Executive.
* Liaises with AT&MT’s external accountants, independent examiner/auditors and payroll provider.

Purpose of the Role

To provide comprehensive financial management, including full bookkeeping services, to ensure AT&MT meets its statutory duties and maintains strong financial systems. The role will maintain continuity during the interim period and support the organisation’s strategic financial planning.

Key Responsibilities

1. Bookkeeping and Financial Management

* Deliver day‑to‑day bookkeeping: process and record all financial transactions, manage accounts payable and receivable, reconcile bank accounts and credit cards, and maintain complete, up‑to‑date ledgers.
* Maintain the chart of accounts, prepare journals and ensure proper coding of all income and expenditure, including restricted funds.
* Provide month‑end close procedures, ensuring all transactions are captured and reconciliations completed.

2. Management Accounting & Reporting

* Prepare monthly management accounts, cash‑flow forecasts and variance analyses for the Artistic Director & Chief Executive and Board.
* Develop annual and multi‑year budgets; monitor performance against budget and provide timely advice on variances.
* Produce financial reports for Board meetings and funders, presenting information in a clear, accessible manner.

3. Compliance and Audit

* Ensure proper accounting records are maintained and prepare fully‑accrued annual accounts in accordance with FRS102/SORP.
* Coordinate the annual independent examination or audit; liaise with the appointed examiners/auditors to provide all required information and implement recommendations.
* Prepare and submit statutory filings and returns (OSCR annual return, HMRC VAT/PAYE/NIC, Companies House) within required deadlines.
* Retain accounting records and supporting documentation for the statutory period.
* Track restricted funds and ensure expenditure complies with funder conditions.
* Assist with preparing grant budgets and financial reports; liaise with fundraising staff to ensure accuracy and compliance.

5. Financial Controls & Risk Management

* Develop and maintain financial policies, procedures and internal controls; ensure segregation of duties and appropriate authorisations.
* Document all finance processes and support cross‑training of key staff to mitigate dependency risk.
* Maintain secure access to all financial systems, updating permissions as staff change.

6. Strategic Advice & Support

* Provide financial analysis and advice to the Artistic Director & Chief Executive and Board Treasurer to inform organisational strategy and capital investment decisions.
* Support scenario planning and risk assessment.
* Liaise with AT&MT’s accountants to ensure accurate record‑keeping and to support the preparation of annual accounts.
* Work closely with the independent examiner/auditors, supplying schedules, reconciliations and supporting documentation.
* Coordinate with the payroll provider to ensure accurate and timely payroll and pension processing, and reconcile payroll entries in the accounts.
* Maintain clear communication with the Project & Operations Manager and other staff to integrate financial information into operational planning.

8. Other Duties

* Provide training and guidance to staff and trustees on finance processes, budgets and financial compliance.
* Assist with handover and succession planning by documenting processes and preparing a detailed transition plan for permanent finance staff.
* Complete and accurate bookkeeping records and monthly reconciliations.
* Monthly management accounts and cash‑flow reports delivered within agreed timescales.
* Annual budget and revised forecasts.
* Statutory accounts ready for independent examination or audit and submission of all required returns.
* Financial reports and restricted fund reports for the Board and funders.
* Updated financial policies and procedures.

Person Specification

* Demonstrable experience in charity finance, including bookkeeping, management accounting and statutory reporting.
* Strong knowledge of FRS102/SORP and Scottish charity reporting requirements.
* Experience liaising with auditors, accountants and payroll providers.
* Proficiency with accounting software and advanced Excel skills.
* Excellent communication skills and ability to explain financial information to non‑specialists.
* High integrity, attention to detail and ability to work independently.
* Experience working with arts or cultural organisations.
* Knowledge of VAT partial exemption for cultural organisations and Gift Aid.
* Experience implementing process improvements and internal controls.
* Interest in the arts and commitment to the values of AT&MT.

Terms of Engagement

* Remote or Hybrid working welcome
* Fixed‑term arrangement of 6–12months, with potential extension.
* Flexible working arrangement combining remote work and on‑site meetings as required.
* Fee and schedule to be agreed with the provider, but expected to be IRO £40-£50k pa pro rata.
* Evidence of professional indemnity and other relevant insurances required.
* Provider must adhere to AT&MT’s organisational policies.
* Start Date: Immediate for handover no later than 25 th August 2025.
