To provide receptionist support for the Royal Eye Infirmary.

This post is part of a professional team working in the Royal Eye Infirmary. The key responsibility of this role is the efficient and accurate administration and reception coverage for outpatient and inpatient services, with strict adherence to the Referral to Treatment Access Policy and APNs (Administrative Procedure Notes).


Main duties of the job

PRIMARY DUTIES & AREAS OF RESPONSIBILITY

The post holder will be trained on the job through instruction, practice, and attending training sessions on Patient Casenote, Information Governance, iPM, and Medisoft systems.

2. Ensure understanding of data quality and data protection, working in accordance with relevant guidance.

3. Develop a thorough understanding of all administration processes related to the Referral to Treatment Access policy and APNs, utilizing in-house manuals for reference.

4. Compile and sort patient clinic attendance sheets, ensuring clinics are received into Reception.

5. Welcome patients and relatives, directing them to the appropriate waiting areas.

6. Keep the In Touch system updated for patient arrivals using the Self Check-In Kiosks.

7. Handle direct patient contact with empathy and tact, especially when dealing with anxious, angry, or upset patients, recognizing potential exposure to unpleasant working conditions.

8. Update patient details on the computer system, front sheets, and labels of Health Record Folder notes as necessary.

9. Admit and discharge patients attending for minor or day-case operations, adding the appropriate procedure codes.

Job responsibilities

PRIMARY DUTIES & AREAS OF RESPONSIBILITY

The responsibilities are similar to those outlined above, including training, data management, patient reception, system updates, and patient interactions. Additional duties include admitting and discharging patients for minor or day-case procedures, with appropriate coding.

***Preference will be given to internal Trust staff, Priority and 'At Risk' status including NHS At Risk staff throughout Devon who demonstrate relevant experience as per the Person Specification.***


Person Specification


Qualifications

* GCSEs 9-4 (A-C) in Maths & English, NVQ Level 2 in business administration or related field, or equivalent experience.
* Basic computer skills
* Familiarity with Patient Management systems


Knowledge & Experience

* Ability to undertake training competencies relevant to the role
* Experience working with the public


Aptitude & Abilities

* Good telephone manner
* Organizational skills
* Ability to work in a busy environment
* Interpersonal skills
* Ability to maintain confidentiality
