Overview
The Department of Genetics is seeking to appoint a proactive, reliable and well-organised individual to provide comprehensive administrative support to our Head of Department, as well as coordinating other departmental activities, including outreach, events and communications. This is a key position within the Professional Services Staff team and involves managing the Head of Department's diary, assembling paperwork, communicating with contacts and briefing the HoD on daily commitments and workload.
Responsibilities
* Manage all aspects of the Head of Department's diary, including scheduling appointments, assembling paperwork, and briefing on daily commitments and workload.
* Coordinate departmental events (e.g., Annual Departmental Research Day, biennial Special Lecture, academic and research-based retreats, and Christmas and Summer parties).
* Manage expenses claims and monitor budgets with accuracy and attention to detail.
* Act as Secretary for Academic Staff, Infrastructure, Microscopy and Events Committees; prepare agendas and minutes; liaise with Chairs to ensure committee business is carried out.
* Be a member of the Department's Silver Management Team with line-management responsibility for the Department Receptionist and Events and Seminars Administrator.
* Liaise with a wide range of staff and external contacts (press, national/international institutions, eminent scientists, funders, and other University departments).
* Update websites, SharePoint and social media (experience beneficial).
* Support flexible working arrangements where possible; related maternity cover or secondment arrangements as described.
Qualifications and Skills
* Excellent communication skills, self-motivated, and able to liaise with internal and external contacts.
* Strong organisational and diary-management abilities; proficient with budgeting, expenses, and financial accuracy.
* Attention to detail, good standard of Maths and written English.
* Experience with updating websites, SharePoint and social media are advantageous.
* Ability to work as part of a team within a friendly Professional Services Staff environment.
Employment Details
* Temporary position to provide maternity cover for up to 12 months (or until the return of the current post holder).
